Location: Onsite, five days per week – Kohler, WI Opportunity The Sr. Human Resources Coordinator plays a critical role in supporting Kohler Campus Operations and union and associate relations. This position serves as a strategic administrative partner to the HRBP and Union Associate Relations leadership teams, managing complex grievance systems, maintaining critical labor relations documentation, and coordinating campus-wide employee engagement initiatives. The role requires exceptional organizational skills, attention to detail, and the ability to work effectively with union representatives, plant leadership, and cross-functional teams. This position directly supports the Director of Union Associate Relations and collaborates closely with HR Business Partners, Associate Labor Relations partners, and operational leaders across multiple locations on the Kohler Campus, the United States and Canada. The ideal candidate will bring a proactive approach to process improvement, strong technical proficiency with HRIS and document management systems, and a demonstrated commitment to fostering positive employee relations in a unionized environment. Specific Responsibilities: Maintain comprehensive Grievance log and tracking system, including scanning and digitizing historical grievance documents to ensure complete record retention. Maintain Memorandum of Understanding (MOU) log and system, including scanning historical MOUs and side agreements with ongoing management responsibility. Maintain Disciplinary logs with accurate tracking of employee relations cases across campus locations. Drive cross-functional project with Kohler ITC to design and implement a disciplinary log and tracking system integrated with existing grievance management platform. Manage and support the Employee Relations/Labor Relations (ER/LR) and Kohler Business Association (KBA) Campus SharePoint sites, including site structure, permissions, and content organization. Upload documentation into grievance repository and establish consistent file naming conventions to ensure efficient document retrieval. Track critical deadlines for grievance responses, arbitration filings, contract negotiations, and other time-sensitive labor relations matters. Assist with Department of Labor (DOL) poster subscription management, tracking compliance requirements, conducting site audits, and coordinating with Finance to allocate costs to appropriate cost centers. Conduct Stay 5, 30, 60, 90 180 day stay interviews with associates across Kohler Campus; provide trend analysis to the HRBP Team. Handle the job bidding process in accordance with the steps outlined in the collective bargaining process. Process all disciplinary actions on a weekly basis in accordance with terms and conditions of the collective bargaining agreement. Reporting, Analytics Union Relations Support Track grievance trends across campus locations, analyzing patterns by department, shift, grievance type, and resolution outcomes to identify systemic issues. Track discipline patterns and progressive discipline compliance to ensure consistent application of policies. Monitor and report on absenteeism trends by location, department, and employee group. Track Family Medical Leave (FML) usage patterns and coordinate with leave administration. Build reports and dashboards tracking contract violations, arbitration outcomes, settlement trends, and labor relations metrics for leadership review. Track Union Dues cards, file them systematically, and coordinate with Global Shared Services (GSS) to update SAP with appropriate effective dates (or enter directly into WorkDay when system transitions). Provide procedural guidance on union protocols, including white card procedures for union steward time in grievance meetings and representation rights. Coordinate communications with UAW leadership when new company processes, procedures, systems, programs, or policies are announced or rolled out to ensure proper notification and transparency. Manage logistics for contract negotiation meetings and arbitration hearings, including scheduling, materials preparation, conference room setup, and coordination with external counsel. Assist with collection and compilation of data from business divisions across campus during pre-negotiation preparation meetings. Employee Engagement Campus Support Maintain HR bulletin and people boards across all campus locations and plant sites, ensuring current postings of required labor law notices, company announcements, benefits information, and employee recognition. Lead campus-wide Manufacturing Month activities and other stewardship and engagement initiatives to ensure consistency across locations and reinforce One Team One Mission culture. Provide operational support to Workplace Excellence (WE) teams across campus as needed, including meeting coordination, action item tracking, and communication support. Lead the strategic expansion of the English as a Second Language (ESL) program to include additional languages beyond Spanish, such as Hmong, to support the diverse workforce across Kohler Campus manufacturing operations. Collaborate with plant leadership, HR Business Partners, and union representatives to design and execute engagement activities that strengthen associate relations and foster inclusive workplace culture.
