
Assistant Practice Manager

The Assistant Office Manager will lead and support the reception team, as a working manager in the front office. This person will support the Office Manager in the day-to-day operations and flow of the clinic to boost efficiency and productivity. In addition, the Assistant Office Manager uses conflict resolution, problem-solving techniques and empathy to handle staff and client concerns. The Assistant Office Manager must be an effective time manager, have meticulous attention to detail, and have excellent organization skills. This person requires strong communication abilities and fantastic customer service skills.
Responsibilities:
• Assist the Office Manager in managing room availability changes, staff call-outs, & annual reviews
• Point of contact for all questions and concerns in the front office
• Assist with training new administrative staff in all reception duties
• Provide backup for all reception duties
• Monitor daily schedules to ensure all appointments are updated appropriately
• Travel between locations for coverage of administrative staff and the site Office Manager as needed
• Develop a strong working rapport with other teams to carry out a smooth client experience
• Cross train in scheduling, intake and authorizations for coverage
• Complete required compliance training
• Follow all HIPAA rules and regulations
• Perform other duties as assigned
Added experience:
• One year of supervisory experience is preferred
• Prior experience working in a healthcare front office preferred
• Knowledgeable in Microsoft Office, specifically Word, Excel & Outlook
• Reads, writes, understands, and speaks English proficiently
• Bilingual in Spanish preferred
• High school diploma or GED required
