For Linklaters Global Solutions Warsaw, we are currently recruiting for the Senior HR Administration Specialist with German

 

Work arrangements: 

Hybrid model work: (2 days per week from the office located next to Rondo ONZ) 

Contract: Employment contract with 3- month probation period

Working hours: rotating shifts, 9:00–17:15 and 9:45–18:00

 
About the team 

You will join Linklaters Global Solutions (LGS) as part of the People function, supporting the firm’s offices and contributing to the efficient delivery of core HR services for the German market.

The HR People Services (HRPS) team is responsible for delivering day‑to‑day operational HR support across the full employee lifecycle for Germany, including HR administration, data and systems management, reporting, and close cooperation with local payroll and benefits. The team acts as a first point of contact for HR queries, ensures compliance with German employment law and firmwide policies, and supports process improvement, annual HR cycles and the implementation of best practice in systems.

As Senior HR Administration Specialist, you will be responsible for HR administration and people support, ensuring smooth operations and professional HR service delivery. Collaborating with business teams and legal teams worldwide, our team covers key HR processes, data quality, and employee lifecycle management. 

 

As Senior HR Administration Specialist, you will:

  • Resolve HR policy and process queries as first point of contact, escalating complex cases and managing HR cases within agreed service levels.

  • Administer onboarding, including documentation, induction coordination, start arrangements and new joiner chats.

  • Process contractual and employment changes (for example department moves, promotions, job changes, allowances, work schedules, secondments).

  • Coordinate and administer family leave requests, including end‑to‑end maternity support and guidance to employees.

  • Manage employee exits, including holiday calculations, benefits treatment, systems termination and exit interviews.

  • Maintain accurate HR data in Workday and other systems, running regular audits and reports to ensure data quality and compliance.

  • Support annual performance, appraisal and moderation processes, and other HR projects or cyclical activities.

  • Contribute to continuous improvement by updating templates and process documents and identifying efficiency enhancements.

  • Share knowledge, support colleagues during peak workloads, and uphold compliance with employment legislation, regulatory requirements and HR best practice in all activities.

  • Participate in knowledge transfer.

 

Apply if you:

  • Have 2+ years professional experience in HR administration within corporate or professional services environment supporting German market

  • Communicate fluently in German & English, with excellent verbal and written skills and the ability to explain processes clearly and maintain professional correspondence.

  • Have a solid understanding of HR processes, policies and procedures, and can apply them accurately in day‑to‑day work.

  • Bring a strong customer‑focused mindset, demonstrating professionalism and resilience when handling sensitive or complex queries.

  • Have advanced MS Office skills (including Excel functions such as v‑lookups and mail merges).

  • Have experience using HR systems such as Workday, Neocase or iTrent, and feel confident learning new technologies quickly.

  • Show strong attention to detail and a commitment to delivering high quality, accurate work.

  • Enjoy working as part of a collaborative team, can adapt to different personalities and thrive in an evolving, close‑knit environment.

  • Bring a positive and flexible approach to change, with a willingness to contribute to process improvements and continuous learning.
