POSITION SUMMARY

The International Shipping Coordinator serves as the primary operational liaison between the US Exports Team and the AirLife Phoenix Distribution Center. This position is responsible for coordinating all international order fulfillment activities, export documentation, freight logistics, and cross-functional communication to ensure compliant, on-time delivery of AirLife products to global customers and distribution partners.

The coordinator interfaces with internal departments – including International Customer Service, Quality, Regulatory, Supply Chain, Warehouse, and Shipping – and external partners including freight forwarders, customs brokers, air and ocean carriers, and international distributors. The role requires a high degree of accuracy, cross-cultural communication competency, and a working knowledge of export compliance regulations applicable to the global medical device industry.

POSITION QUALIFICATIONS

Knowledge, Skills, & Abilities: 

  • Knowledge of international shipping terminology, Incoterms 2020, and export documentation requirements including commercial invoices, packing lists,QualityControlCertificates, Shipper's Letters of Instruction,AirWaybill,BillofLading.
  • Knowledge of US export regulations including EAR, ECCN classifications,HS Codesand denied party screening requirements applicable to medical device distribution. 
  • Working knowledge of ERP and order management systems such asSalesPad, SAP,Korberorequivalent platforms used in international order fulfillment. 
  • Working knowledge of Microsoft Office Suite — specifically Excel, Outlook, Word, and Teams — at an intermediate to advanced level. 
  • Working knowledge of air and ocean freight operations including carrier coordination, freight quoting, consolidation, and shipment tracking. 
  • Demonstratesability to prepare, review, and distribute accurate export documentation with a high degree of attention to detail in a high-volume environment. 
  • Demonstrated written and verbal communication skills with the ability to interact professionally with international distributors, freight forwarders, customs brokers, and internal teams. 
  • Ability to manage multiple open shipments, competing deadlines, and cross-functional priorities simultaneously without loss of accuracy or quality. 
  • Ability to identify and escalate order exceptions, supply shortages, and documentation discrepancies to the US Exportsteamwithin defined timelines. 
  • Bilingual proficiency in English and Spanish preferred.

Level of Experience: 

Minimum Required: Two years of direct experience in international shipping, freight coordination, or export operations within a distribution, manufacturing, or supply chain environment.

Preferred: One additional year of experience in a customer service role supporting international accounts, preferably in a regulated industry such as medical devices, healthcare, or pharmaceuticals.

Level of Education: 

High School Diploma or GED required. Associate’s degree in business, International Trade, Logistics, Supply Chain Management, or a related field preferred. A combination of equivalent work experience and education will be considered in lieu of a degree.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serve as the primary operational liaison between the US ExportsCustomer Serviceand the Phoenix Distribution Center, communicating daily shipment priorities, order exceptions, and resolution status across both teams. 
  • Coordinate pick-up schedules, shipment consolidations, and freight priorities with approved freight forwarders, air and ocean carriers, and the Phoenix DC warehouse team to meet customer delivery commitments. 
  • Consolidate anddistributecomplete export documentation packages — including commercial invoices, packing lists, Certificates of Origin, Shipper's Letters of Instruction, and regulatory certificates — to forwarders and distributors prior to every cargo release. 
  • Solicit and compare freight quotes from approved carriers, present cost and transit options to the US ExportsCustomer ServiceTeamandexecute the selected routing within required booking windows. 
  • Maintainand distribute daily, weekly, and monthly shipment status reports, maintaining accurate export activity logs and contributing to KPI tracking for on-time delivery, documentation accuracy, and freight cost performance. 
  • Support export compliance by screening shipments against denied party lists, verifying EAR and ECCN classifications, confirming heat-treated pallet requirements per ISPM-15, and escalating quality or regulatory holds per the Phoenix DC Quality Management System.
