Position Summary

The Outfitting Coordination Manager is responsible for the end-to-end coordination and governance of Owner Supply outfitting items within the New Building projects.

The role focuses on upstream technical coordination and process governance of Owner Supply outfitting items, from consolidation of design-driven Owner Supply lists to scheduling and supplier coordination, ensuring compatibility with contractual milestones and shipyard interfaces. Delivery and expediting activities are managed separately within the Procurement function.

This position is process-driven and coordination-focused and does not include creative design responsibilities or pure purchasing activities.

Key Responsibilities

Owner Supply Outfitting Coordination

  • Act as the primary focal point for all Owner Supply outfitting coordination activities related to Hotel Technical items.
  • Coordinate Owner Supply outfitting items across all project phases, from planning and sourcing strategy to delivery and onboard integration.
  • Ensure technical consistency between Owner Supply items, vessel design, outfitting requirements and shipyard constraints.

Planning & Process Governance

  • Support the NB Team in the definition and continuous update of the Owner Supply procurement and delivery plan for outfitting items.
  • Govern the full Owner Supply process, ensuring alignment with project schedule, approval workflows and installation sequencing.
  • Maintain and update all Owner Supply procurement and coordination documentation.
  • Coordinate Owner Supply activities with internal stakeholders such as Architecture, Project Management, Procurement, IT and Hotel Operations.

Bidding & Procurement Support

  • Execute and coordinate bidding activities in conjunction with the Procurement Manager, ensuring selection criteria balance technical compliance, cost, quality and logistics.
  • Execute special purchasing-related activities such as mock-up reviews, chair parades and technical evaluations, ensuring alignment with project requirements.

Budget & Cost Control

  • Monitor and control the Owner Supply outfitting budget, tracking Purchase Orders versus budget allocations.
  • Support project cost control through accurate reporting, forecasting and coordination with Project Control and Finance.

Travel Requirements

  • Moderate travel required during the project lifecycle.
  • Extended onsite presence during the vessel delivery phase, currently scheduled for May 2028.

Experience & Background

Required

  • Degree in Architecture, Engineering, Nautical Design or equivalent technical background.
  • 5–10 years of experience in technical coordination roles within complex outfitting or construction environments.
  • Solid understanding of outfitting items, including loose furniture, decorative lighting, carpets, drapery and hotel technical equipment.

Preferred / Strong Plus

  • Experience gained in:
    • Shipyards
    • Marine outfitting or interior subcontractors
    • Furniture or interior fit-out companies working on complex projects
    • Hands-on exposure to site coordination, installation constraints and multi-stakeholder project environments.

Profile Characteristics

  • Technically oriented and highly process-driven
  • Strong coordination and interface management skills
  • Pragmatic, structured and comfortable working in complex project organizations
  • Not a creative design role and not a pure buyer position

Contract Type

Temporary contract until end of June 2028
