Position Purpose
Provides comprehensive support for onboarding operations and Talent Management services. Assists with key activities across the hiring lifecycle, including applicant screening through onboarding completion. Ensures completion of hiring documentation, certification verification, and compliance requirements for new hires. Supports a smooth, efficient hiring and onboarding experience for candidates, employees, and campus leaders by providing timely, accurate, and customer-focused service aligned with district standards.
ESSENTIAL JOB FUNCTIONS
Recruitment & Applicant Screening
- Screens applications to identify qualified candidates based on established criteria.
- Reviews resumes and application materials for completeness and alignment with position requirements.
- Manages applicant tracking system activities, including dispositioning and candidate status updates.
- Collaborates with hiring managers to support candidate movement through the hiring process.
- Coordinates interview scheduling and communication with candidates as needed.
- Ensures a positive and professional candidate experience throughout the pre-hire process.
Onboarding Processing & Support
- Processes onboarding transactions for new hires, including data entry and document collection.
- Ensures completion and accuracy of required hiring documentation prior to employee start date.
- Reviews onboarding packets to verify completeness and compliance with district requirements.
- Coordinates onboarding timelines to ensure efficient and timely hiring completion.
- Manages the transition of selected candidates into onboarding to ensure continuity in the hiring process.
Operational Support
- Supports implementation of onboarding procedures and workflows.
- Assists in monitoring onboarding timelines and completion status.
- Identifies and communicates process issues or delays to leadership.
- Participates in process improvement efforts to enhance onboarding efficiency.
Certification & Compliance Support
- Assists in verification of employee certification and licensure requirements.
- Ensures required certification documentation is received, reviewed, and recorded.
- Supports compliance with district, state, and federal hiring and employment requirements.
- Maintains accurate documentation for audit and compliance purposes.
Fingerprinting & Clearance Coordination
- Coordinates fingerprinting and background clearance processes for new hires.
- Monitors completion of required clearance steps prior to employment start.
- Communicates with candidates and campuses regarding clearance status and requirements.
- Ensures all employees meet eligibility requirements prior to placement.
Customer Service & Communication
- Provides direct support to candidates and campus staff regarding onboarding processes.
- Responds to inquiries related to hiring documentation, onboarding steps, and requirements.
- Maintains clear and professional communication throughout the onboarding process.
- Supports a positive onboarding experience for all new employees.
Systems & Data Management
- Enters and updates employee data in HRIS, applicant tracking, and onboarding systems.
- Ensures accuracy and integrity of onboarding data and records.
- Utilizes HR systems to track onboarding progress and generate reports as needed.
- Maintains organized digital and physical employee records in compliance with policies.

Knowledge, Skills & Abilities
- Knowledge of applicant screening methods and hiring workflows.
- Knowledge of onboarding processes, hiring procedures, and employment documentation requirements.
- Knowledge of certification, compliance, and fingerprinting/background clearance processes.
- Knowledge of HR systems, applicant tracking systems, and onboarding platforms.
- Skill in data entry, document review, and maintaining accurate records.
- Skill in providing customer service and responding to inquiries effectively.
- Ability to evaluate candidate qualifications against established criteria.
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
- Ability to maintain confidentiality and handle sensitive employee information.
- Ability to communicate clearly and professionally with staff and candidates.
- Ability to engage in self-evaluation with regard to performance and professional growth.
- Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
Travel Requirements
- Travels to school district buildings and professional meetings as required.
Physical & Mental Demands, Work Hazards
- Tools/Equipment Used: Standard office equipment, including computer and peripherals.
- Posture: Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.
- Motion: Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching.
- Lifting: Occasional light lifting and carrying (less than 15 pounds).
- Environment: Works in an office setting; may require occasional irregular and/or prolonged hours.
- Attendance: Regular and punctual attendance at the worksite is required for this position.
- Mental Demands: Maintains emotional control under stress; works with frequent interruptions.
Minimum Required Qualifications
- Education (See approved combinations of Education & Experience below)
- Accredited High School diploma, GED, or Texas Certificate of High School Equivalency required;
- Associates degree from accredited college or university in Business Administration or a related field preferred;
- Bachelor's degree from accredited college or university in Business Administration or a related field preferred.
- Certification/License: None.
- Experience:
- 2-6 years of experience in HR support, onboarding, administrative support, or related field required.
Approved combinations:
Education Experience
HS/GED/TxCHSE 6 years
Associate's degree in a technical field 4 years
Bachelor degree in a technical field 2 years
- Language: Bilingual (English/Spanish) preferred in some settings.
