The Executive Administrative Assistant will provide dedicated, high-level administrative support to the Vice President of Operations Engineering within Global Infrastructure. This role requires exceptional organizational, communication, and prioritization skills, along with strong personal integrity and discretion.

As a trusted partner to the VP and broader organization, this individual will play a critical role in ensuring seamless day-to-day operations, enabling leadership effectiveness, and supporting organizational priorities. The position is highly visible and integral to the success of the team, requiring a proactive mindset, sound judgment, and the ability to anticipate needs in a dynamic, fast-paced, and complex environment.

The ideal candidate is a self-starter, highly adaptable, and motivated to be an embedded partner who contributes positively to team culture and operational excellence.

  • Act as a primary point of contact for the Vice President and the Operations Engineering organization, demonstrating professionalism and discretion in all interactions
  • Proactively manage and maintain the VP’s calendar, including scheduling complex meetings across multiple time zones and managing competing priorities
  • Coordinate and support leadership meetings, including agenda preparation, materials, logistics, conference rooms, and virtual meeting setup
  • Facilitate communication across the Global Infrastructure organization, including distribution lists, organization charts, and leadership updates
  • Support onboarding for new team members within the organization
  • Prepare, review, and process expense reports in accordance with company T&E policy
  • Coordinate domestic and international travel, including detailed itineraries, accommodations, transportation, and meeting logistics

     

  • Partner with technology support teams to resolve technical issues and ensure smooth day-to-day operations
  • Support Global Infrastructure and Operations Engineering initiatives, leadership offsites, and special projects as assigned
  • Drive operational efficiency by identifying opportunities to improve administrative processes and workflow
  • 3+ years of in an executive assistant position
  • Excellent organizational, administrative, and interpersonal skills with strong attention to detail
  • Advanced calendar management skills, including coordination of complex, high-volume meetings with internal and external stakeholders
  • Proven ability to manage domestic and international travel arrangements
  • Strong sense of integrity with the ability to handle highly confidential and sensitive information
  • Proactive, self-starter mindset with the ability to work independently and anticipate needs
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities with minimal guidance and resolve issues proactively
  • Positive, solutions-oriented approach with a high degree of reliability and professionalism
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Positive, Can-do Attitude
