POSITION: MS/HS Assistant/ASB Secretary
START DATE: August 2026
LOCATION: MS/HS Office
TERMS OF EMPLOYMENT: 1.0 FTE
HOURS: 8 Hours per day (Schedule TBD, but possibly 7:30am - 4:00pm), 212 Days per year beginning 3 weeks before school beings, ending one week after school ends
RATE (25-26): $29.23 - $32.74 per hour (dependent upon verifiable relevant experience)
Benefits: Position is eligible for medical, dental, vision, life, AD&D, and LTD through the School Employee Benefits Board (SEBB) and retirement through the WA State Department of Retirement Systems (DRS).
Position Purpose
The Middle/High School Assistant Secretary is directly responsible to the Building Administrators and Athletic Director; Maintains records and assists the Head Secretary in performing the necessary functions to ensure the smooth and efficient operation of the school office.
Essential Functions
- Respond to the public in a cordial, courteous manner, answer telephone, relay messages, schedule appointments, coordinate operation of the school office
- Responsible for ASB events/fundraisers and ensuring compliance with the State Auditor's Office.
- Responsible for the daily accounting and banking of ASB money; including, but not limited to, concession money, ticket sales, fundraisers, and athletics.
- Responsible for maintaining cash receiving software systems, training on the system, and alerting the business office of any issues or problems.
- Responsible for tracking all athletic registrations, transportation arrangements, and communication with coaches, KWRL, and athletic teams
- Maintain Facility Use Permits, Athletic Schedules, Trip Permits
- Organize, issue, and manage keys, key fobs, and scheduling of district owned vehicles.
- Enter and track fines in cash receipting system or student information system (Skyward/Qmlativ/Intouch)
- Assign and manage student lockers
- Create a daily bulletin for morning announcements and the school website
- Communicate with families through ParentSquare, Skyward as requested by administrators
- Type accurately and neatly a variety of materials such as letters, memoranda, bulletins, requisitions, claims, reports, statistical data, evaluations, newsletters, etc.
- Update the school website weekly with calendar information, upcoming events, and news
- Answer requests for general information
- Compose standard letters, memoranda or reports independently or with little instruction in an accurate manner
- Route mail, distribute all inter-district communications, and provide distribution support for various school-related organizations
- Provide annual reporting as required by OSPI and the district
- Supervise student office help
- Distribute parking passes to students
- Serve as a back up to the Health Care Specialist
- Assist with volunteer paperwork, approvals, and background checks
- Manage/operate equipment such as calculators, copiers, computers, fax machine, shredder, etc.
- Maintain a supply of school and district forms
- Managing and assisting parents, students and coaches with FinalForms
- Exhibit confidentiality, initiative, creativity and enthusiasm in performing job functions
- Aligns professional work with the district's strategic plan
- Scan visitors into Raptor system to check for registered sex offender
- Manage off-campus applications and permission slips
- Manage online athletic registration (i.e. FinalForms)
- Performs other duties as assigned
Additional Duties
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.

Travel Requirements
- Limited travel to and from meetings may be required.

- Organizational and time management skills.
- Experience with QuickBooks, preferred.
- Knowledge of office management procedures.
Physical and Mental Demands, Work Hazards
- Works in standard office and school building environments.
Qualification Profile
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- High School diploma
- Associates degree with course work in business, math, word processing, office procedures and record keeping preferred
- Bachelor's degree preferred
- Shorthand or speed writing skills desirable
- Successful experience with office management preferred
- Valid CPR/First Aid certification (Good for two years)
