Work Hours: Saturday and Sunday, 9:00 AM – 9:00 PM
Occupational Summary
Perform duties in computerized order entry, distribution of all supplies, linen, equipment, shipping, and receiving of hospital merchandise. Associates must maintain good inventory management processes to meet supply needs with prompt delivery. Core weekend responsibilities include stocking shelves throughout the hospital, delivering STAT orders, submitting orders for resupply, ensuring the accuracy of issues, and verifying the good working order and availability of equipment.
Work Performed
Level 1 Responsibilities Staff are required to have responsibilities in at least one of the following areas to ensure optimal inventory management for in-scope facilities:

Stock shelves throughout the hospital and distribute/restock supplies and/or linen to end-users in accordance with established policies.

Submit orders for resupply and maintain accurate inventory levels.
-
Deliver non-supply items (e.g., medical gas, linen) and ensure all STAT orders are completed according to specified service level agreements in a timely manner.

Use appropriate Supply Chain technologies (Pyxis and SAP) to document the movement of supplies.
-
Perform regular cycle counts to ensure the accuracy of stock levels in all areas, and participate in mid-year and year-end inventory counts.

Check expiration dates on supplies regularly; document and discard expired products.

Accept and sign for deliveries from distributors.
-
Inspect shipments, enter Goods Receipts into SAP, file packing slips, and report identified shipment discrepancies to SC onsite management.

Prepare and ship out Vendor Returns and rotate stock in all areas.

Move and stock supplies to appropriate shelving locations once receiving is complete.

Transport shipments from the loading dock to the stockroom and deliver packages to appropriate purchasers.

Ensure all Supply Chain work areas and supply storage areas throughout the facility are clean and organized.

Demonstrate excellent customer service when interacting with end customers to address linen and/or supply questions.

Proactively provide recommendations on operational efficiency improvements to Supply Chain management.
Level 2 Responsibilities In addition to the Level 1 responsibilities listed above, Level 2 staff are expected to spend at least 50% of their time on a multitude of the following functions:

Act as a mentor/preceptor to all Level 1 Supply Chain Associates and serve as back-up Team Lead if necessary.

Demonstrate excellent customer service in all areas when interacting with customers, including nursing floors and OR environments (physicians, surgery techs/nurses, Cath Lab techs/nurses, etc.) to address supply-related questions.

Deliver, manage, and coordinate supplies/other products to off-site clinics and/or facilities as needed.
-
Manage inventory, assist in preparations for annual inventory, oversee consignment inventory/processes, and potentially oversee inventory management of procedural areas.

Proactively collaborate with other Supply Chain stakeholders to adjust par levels and address slow-moving items based on usage.

Troubleshoot supply shortage issues and articulate known impacts.

Effectively utilize the ERP system to pull reports, find products, use handheld technologies for delivery and PAR replenishment, and run SAP reports to close out daily transactions.

Act as Subject Matter Expert (SME) for the TIMS module, including receiving and documenting.

Pull EPIC Reports and/or Pyxis reports, analyze data, and provide appropriate recommendations.

Participate in PERT, OR EDIT, and VAT discussions as assigned.

Access and utilize Vendormate for Vendor Management as assigned.

Work with customers to help reconcile invoices as needed.

Complete all assigned tasks with minimal supervision from the Team Lead and Manager.

Knowledge, Skills, and Abilities
Level 1

Physical Requirements: Ability to exert 20 to 50 pounds of force occasionally, 10 to 25 pounds frequently, and up to 10 pounds constantly to move objects. Requires pushing/pulling unloaded and loaded supply carts, exerting up to 100 pounds of force daily. Frequent reaching, lifting, stooping, and bending are required.

Level 2

All Level 1 requirements, plus:

Experience using an ERP system.

Demonstrated competency in advanced inventory management.
Minimum Qualifications
Education
-
High School Diploma or G.E.D. required.
-
Some college-level coursework is preferred, but not required.
Experience
-
Level 1: At least 1 year of work experience, including experience in one of the following areas: distribution, warehousing, shipping, receiving, logistics, material handling, customer service, inventory control, or another comparable service line. Experience in a fast-paced, customer service environment is strongly preferred.

Level 2: At least 2 years of work experience, including experience in at least one of the disciplines listed above.
Degrees, Licensures, Certifications
