Job Description

Summary Statement:

The Retail Buying Coordinator provides administrative and operational support to the Retail Buyers, ensuring efficient execution of purchase orders, vendor coordination, and retail administrative duties.

Primary Job Duties

Includes, but is not limited to:

  • Initiate, prepare, process, verify purchase orders, ensuring accuracy of product specifications, pricing, and delivery schedules.
  • Create and maintain all SKUs in RedRock.
  • Manage new vendor paperwork and vendor setup.
  • Track shipments and purchase orders to ensure timely delivery of goods.
  • Resolve issues related to orders and inventory discrepancies, including incorrect shipments, damaged goods, and billing errors.
  • Generate weekly, monthly, and ad hoc reports.
  • Process markdowns, markups, and transfers as needed.
  • Assist with retail promotions and seasonal initiatives.
  • Coordinate store signage requests in collaboration with the store managers, Marketing Department and vendors.
  • Create PowerPoint presentations for seasonal product selections based on the Buyer selections.
  • Serve as a liaison between Buyers and vendors to maintain strong working relationships and address requests as needed.
  • Transcribe memos, meeting minutes, and departmental documents as required.
  • Perform clerical and administrative duties, including preparing correspondence, ordering office supplies, arranging conference calls, scheduling meetings, coordinating travel arrangements, and taking meeting notes.
  • Use a personal device/cellular phone for job-related operational tasks, reviewing company documents, and completing assigned duties.
  • Perform other duties as assigned.

Qualifications- Includes, but is not limited to:

  • Ability to work flexible shifts, including weekends and holidays.
  • Strong verbal and written communication skills in English.
  • Professional appearance and demeanor.
  • Excellent customer service and interpersonal skills.
  • Ability to maintain a full understanding of company and departmental policies, procedures, rules, and regulations.
  • Must be at least 21 years of age.

Preferred

  • Proficiency in Microsoft Office Suite, including advanced skills in Excel and PowerPoint.
  • Experience using RedRock systems.
  • Previous experience working in a retail environment.

Minimum Education and Experience

  • High school diploma or technical school graduate required; associate degree preferred.
  • Minimum of two years of administrative or coordinator experience required.

Certificates, Licenses, Regulations

  • Proof of eligibility to work in the United States.
  • Position required licensing.
