Ali & Sons Marine Engineering Factory (ASMEF), a subsidiary of Ali & Sons Holding LLC, is a leading provider of engineering, fabrication, and ship repair services for the oil & gas and marine sectors. We are seeking a professional and customer-focused Receptionist to manage front desk operations, provide administrative support, and create a positive first impression for visitors, clients, and employees.
Key Responsibilities
· Greet and welcome visitors, clients, and guests in a professional and courteous manner.
· Manage the reception area and ensure it is maintained in a clean, organized, and presentable condition.
· Answer, screen, and direct incoming telephone calls promptly and professionally.
· Receive, sort, and distribute incoming mail, courier deliveries, and correspondence.
· Coordinate meeting room bookings and support meeting arrangements as required.
· Maintain visitor logs and ensure compliance with company security and access procedures.
· Assist with travel arrangements, hotel bookings, and transportation coordination when required.
· Provide administrative support including filing, document handling, photocopying, and record maintenance.
· Coordinate with internal departments to facilitate communication and administrative requirements.
· Manage office supplies inventory and coordinate replenishment as needed.
· Support HR and Administration teams with employee documentation and general administrative tasks.
· Handle inquiries and direct them to the appropriate department or personnel.
· Ensure confidentiality of company information and adherence to company policies and procedures.
· Perform additional administrative duties as assigned by the Administration Manager.
Qualifications & Experience
· Education: Diploma or Bachelor's Degree in Business Administration, Office Administration, or a related field.
· Experience: 2–5 years of experience in a receptionist, front desk, customer service, or administrative role.
· Excellent verbal and written communication skills.
· Strong interpersonal and customer service skills.
· Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and office equipment.
· Well-organized with the ability to multitask and prioritize work effectively.
· Professional appearance and telephone etiquette.
· Fluency in English (mandatory); Arabic is an advantage.
