
Human Resources Assistant / Senior
Job Description
What You Will Do
This individual will be responsible for providing support to a team of Human Resources Representatives with a focus in the following areas:
Recruitment & Onboarding
- Post job openings and maintain recruitment files
- Provide administrative support including preparation of offer letters, conducting background checks and coordinating pre-employment drug testing
- Assist employees with benefits enrollment and onboarding processes
HRIS & Data Management
- Perform HRIS (Lawson) data entry for employee lifecycle changes (new hires, transfers, promotions, terminations)
- Process Personnel Action Forms and related documentation
- Maintain and update HR records
Records Management & Compliance
- Maintain personnel, job, and correspondence files in accordance with company policies
- Collect, organize, and distribute HR documentation to appropriate personnel
- Ensure compliance with internal practices and regulatory requirements
- Maintain strict confidentiality of employee and compensation information
HR Administration & Operations
- Monitor and follow up on open items to ensure completion and accuracy
- Meet strict deadlines aligned with payroll and management reporting timelines
- Manage confidential filing and scanning/indexing of employee records
- Process invoices, expense reports, and order departmental supplies
- Prepare correspondence, reports, and presentation materials
- Maintain calendars, schedule appointments, and coordinate meetings, and logistics
Employee Support
- Respond to routine HR inquiries and escalate non-routine issues appropriately
- Communicate effectively with employees and all levels of management
- Provide support for employee-related processes and concerns
Projects & Additional Duties
- Assist with HR projects and initiatives
- Perform other duties as assigned to support HR operations
*Job level will be commensurate with experience and skills of selected candidate.
What You Need
Minimum Experience & Requirements:
- Minimum of 3 years of experience in a Human Resources environment
- General understanding of corporate HR policies, procedures, and practices
- High proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong customer service orientation with a desire to assist others
- Dependable with consistent attendance and ability to meet critical deadlines under pressure
- Strong organizational skills with the ability to prioritize daily tasks effectively
- Ability to handle highly confidential information with discretion
- Ability to manage multiple tasks and assignments simultaneously
- Strong attention to detail and accuracy
- Ability to thrive in a fast-paced work environment
- Demonstrated initiative in resolving issues when appropriate
- Strong analytical and problem-solving skills with logical thought processes
- Ability to work independently with minimal supervision
- Professional demeanor and appearance
- Strong verbal and written communication skills
Preferred Qualifications:
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field
- Familiarity with wage and hour laws, benefits, and employment regulations
- Experience with Lawson HR/Benefits/HR Writer modules
- Experience with Applicant Tracking Systems (ATS)
Work Environment:
- Office-based or hybrid environment
- May require extended hours during peak periods to meet payroll and recruiting deadlines
