🎯 The role: Administrative & Office Manager
This is a cross-functional role combining administrative, operational, and finance support responsibilities. You will be a key enabler of the company’s day-to-day efficiency, helping keep processes organized and running smoothly.
We are looking for someone highly organized, proactive, and reliable, who enjoys taking ownership and working in a fast-paced startup environment.
Key Responsibilities
Finance & Accounting Support
- Follow up with suppliers to collect and validate invoices
- Ensure proper documentation and filing of finance-related transactions
- Support the accounts payable process (invoice tracking, approvals, payment preparation)
- Support the accounts receivable process (invoice generation/review and collections tracking)
- Assist with bank reconciliations and expense tracking when needed
- Coordinate with external accountants when needed
- Coordinate the execution and signature of contracts across internal and external stakeholders
Office Management & Administration
- Oversee day-to-day office operations and administrative processes
- Manage internal documentation, contracts, and records
- Coordinate vendor relationships (suppliers, service providers, etc.)
- Support basic HR/admin processes (onboarding logistics, documentation, etc.)
- Ensure proper organization of company files and tools (Drive, Notion, etc.)
- Handle general administrative tasks to support team efficiency
👀 Who we’re looking for
- 1–3 years of experience in administration, office management, or finance support roles
- Strong organizational skills and attention to detail
- Proactive mindset with ability to manage multiple priorities independently
- Comfortable working with financial and administrative processes
- Strong communication skills
- Spanish and English required
- Proficiency in Excel/Google Sheets and general office tools
Nice to Have
- Experience in a startup or fast-paced environment
- Basic understanding of accounting principles
- Familiarity with ERPs or finance tools
- Experience coordinating vendors or office operations
