
Corporate Administrator – Beneficial Ownership Reporting

About the role
Maintain and update beneficial ownership registers in line with regulatory and statutory requirements
Collect, verify, and record beneficial ownership information from directors, shareholders, members, and other relevant stakeholders
Assist with the preparation and submission of beneficial ownership filings to the relevant authorities within required deadlines
Maintain corporate records within internal systems, including ViewPoint
Monitor changes in ownership structures and ensure records are kept up to date
Liaise with internal teams and clients to obtain required information and provide updates as needed
Support billing-related tasks to assist with timely invoicing and resolution of client accounts
Assist with internal reviews, audits, and due diligence requests by providing accurate documentation
Identify and flag any discrepancies or missing information in records for follow-up
Support the team in improving processes and ensuring data accuracy across systems
About you
Previous experience as a Corporate Administrator or similar role within a corporate services provider,(law firm, or financial services environment)
Basic understanding of corporate structures and regulatory requirements, including beneficial ownership
Experience maintaining corporate records and working with internal systems (e.g. ViewPoint or similar)
Strong attention to detail and ability to manage and update records accurately
Able to manage multiple tasks and meet deadlines in a fast-paced environment
Good communication skills, with the ability to liaise with clients and internal teams
Proactive and organized, with a willingness to take ownership of tasks and follow through to completion
Comfortable working as part of a team while also managing individual responsibilities
Exposure to beneficial ownership reporting or similar regulatory filings would be advantageous, but is not essential
Experience with Cayman or other offshore jurisdictions would be beneficial
Familiarity with internal databases or reporting tools would be an advantage
Working knowledge of Excel (e.g. basic data handling, tracking, and reporting) would also be considered an advantage.
