POSITION SUMMARY:

The Business Systems Administrator is responsible for managing and optimizing the company’s core operational platforms, including HRIS, ERP, and fleet/logistics systems. This role ensures system reliability, data integrity, and seamless functionality across platforms that support both corporate and field operations.

The Business Systems Administrator serves as a key technical resource, overseeing system configurations, user access, reporting, and integrations. They collaborate cross-functionally with Finance, HR, and Operations teams to improve workflows, support decision-making, and drive efficiency. This position plays a critical role in maintaining accurate system data, supporting payroll and financial processes, and enhancing overall business performance through technology.

ESSENTIAL FUNCTIONS:

  • Serve as the primary administrator for all core business systems, including HRIS, ERP, and fleet management platforms
  • Manage user access, roles, permissions, and security settings across all systems
  • Configure system settings, workflows, and customizations to align with business needs
  • Maintain system documentation, SOPs, and configuration records
  • Support payroll processing, audits, and reporting through HRIS systems
  • Maintain employee data, onboarding/offboarding workflows, and compliance requirements
  • Troubleshoot payroll discrepancies and system-related issues
  • Partner with HR and Finance teams to improve system functionality and reporting
  • Administer ERP financial modules including general ledger (GL), accounts payable (AP), accounts receivable (AR), and reporting
  • Support month-end close processes and ensure financial data accuracy within systems
  • Develop and maintain system reports, saved searches, dashboards, and analytics
  • Assist with data imports/exports, integrations, and system enhancements
  • Manage fleet and operations systems, including scheduling, dispatch, and asset tracking
  • Ensure accurate data flow between systems and operational platforms
  • Support field and operations teams with system usage, troubleshooting, and training
  • Develop and maintain reporting and dashboards across all platforms
  • Ensure data accuracy, consistency, and integrity across systems
  • Provide Tier 1–2 support for system-related issues and escalate as needed
  • Train end-users and develop user guides and documentation
  • Collaborate with external vendors for system updates, support, and issue resolution
  • Identify opportunities to streamline workflows and automate processes
  • Support system integrations, upgrades, implementations, and testing
  • Protect the organization’s value by maintaining confidentiality of information
  • Perform special projects and additional duties as assigned by management

POSITION QUALIFICATIONS:

  • Strong analytical, problem-solving, and technical troubleshooting skills
  • Strong attention to detail, data accuracy, and confidentiality
  • Ability to work in a fast-paced environment with minimal errors
  • Highly organized, dependable, and self-directed
  • Ability to manage multiple systems, priorities, and deadlines
  • Strong communication and cross-functional collaboration skills
  • Experience with system administration, reporting, and configuration
  • Advanced data analysis skills, including Excel and reporting tools
  • Working knowledge of HRIS, ERP, and/or fleet/logistics systems
  • Familiarity with system integrations, APIs, or middleware tools preferred
  • Experience with SQL, Power BI, Tableau, or similar tools preferred
  • Industry experience in oil & gas, logistics, or field operations preferred

EDUCATION & EXPERIENCE:

Education: Bachelor’s Degree in Information Systems, Business Accounting, or related field preferred

Experience: 3+ years of relevant experience administering business systems (HRIS, ERP, or similar platforms); multi-system experience preferred.

Computer Skills: Advanced

CERTIFICATES & LICENSES:

  • Valid Driver License with acceptable driving history
  • Completion of company required trainings

OTHER REQUIREMENTS:

  • Proficient reading, writing, speaking, and math skills (Proficient in English)
  • Pass drug test and criminal background check
  • Successfully pass all onboarding training requirements

WORK ENVIRONMENT:

The Business Systems Administrator primarily works indoors in a corporate office environment. This role requires extensive computer use and interaction with internal teams and external vendors. Work hours may fluctuate based on operational demands, system implementations, and reporting deadlines, including month-end close cycles. Occasional extended hours may be required.The Business Systems Administrator must adhere to all company policies and maintain a high level of responsibility to ensure system security, data integrity, and operational continuity. This is essential not only for the success of the organization but also for supporting employees, operations, and overall business efficiency.
