Job Description

POSITION SUMMARY: The Rental Manager is responsible for managing and coordinating the rental of equipment to support day-to-day operations. This role ensures equipment availability, accurate tracking, and efficient logistics while maintaining high levels of customer service for both internal and external clients. The Rental Manager oversees inventory, rental processes, and vendor relationships to ensure operational efficiency and profitability.

ESSENTIAL FUNCTIONS:

  • Understand customer project needs and recommend appropriate equipment and accessories.
  • Create, review, and finalize rental quotes, reservations, and contracts with accuracy.
  • Track, review, and approve vendor invoices to ensure cost control and billing accuracy.
  • Coordinate equipment availability, deliveries, and returns with dispatch, service, and operations teams.
  • Monitor rental utilization and performance to meet or exceed company KPIs.
  • Inspect equipment upon return for damage, usage hours, fuel levels, and service requirements.
  • Maintain rental readiness by coordinating repairs, service, and parts ordering as needed.
  • Manage inventory levels and track equipment location, status, and lifecycle.
  • Maintain accurate records including contracts, billing, maintenance logs, and return documentation.
  • Utilize rental management software and Microsoft Office applications for tracking, reporting, and administrative tasks.
  • Build and maintain strong relationships with customers and support the Rental Department and Outside Sales team.
  • Resolve customer inquiries and issues in a timely and professional manner.
  • Collaborate with cross-functional teams to ensure smooth daily operations.
  • Assist with onboarding and training of new employees, sharing best practices and procedures.
  • Identify opportunities to improve processes, increase efficiency, and reduce costs.
  • Adhere to company policies and procedures, including safety and compliance standards.
  • Participate in on-call responsibilities as needed.
  • Other duties as assigned.

SKILLS & ABILITIES:

Education: High School Graduate or General Education Degree (GED) required; bachelor's degree in a related field preferred.

Experience: 2-3 years of equipment rental coordination experience, preferably within the oil and gas industry.

Computer Skills: Advanced

Certificates & Licenses:

  • Valid driver's license
  • Completion of company and customer required safety training

Other Requirements:

  • Strong organizational and multitasking skills
  • Knowledge of oilfield equipment and operations preferred
  • Ability to work in a fast-paced, high-demand environment
  • Reliable transportation

The Rental Manager works primarily in a corporate office environment, with periodic visits to yard and field locations. This role involves coordination with field personnel, vendors, and customers in a fast-paced setting. Work hours are generally standard business hours; however, additional hours, overtime, and on-call availability may be required to meet operational demands. The position requires adaptability, attention to detail, and the ability to manage multiple priorities simultaneously. The Rental Manager must follow all company policies and safety procedures, ensuring compliance while supporting efficient and effective operations.
