ASSOCIATION ASSOCIATE
Annual Salary Range: $55,000 - $60,000
 
GENERAL SUMMARY
The Association Associate supports the day-to-day operations and strategic initiatives for Etherio’s association management clients. This role is responsible for coordinating communications, educational programming, membership support, webinars, website updates, and event logistics to ensure smooth organizational operations and exceptional member experiences.

The ideal candidate is highly organized, detail-oriented, customer-service driven, and capable of managing multiple projects in a fast-paced environment while working collaboratively with board members, volunteers, vendors, and internal staff

ESSENTIAL FUNCTIONS
Marketing & Communications
  • Assist with the development and distribution of association communications, including emails, newsletters, social media content, announcements, and promotional materials.
  • Maintain and manage the content calendar.
  • Support marketing campaigns, sponsorship promotions, and member engagement initiatives.
  • Coordinate meetings and assist with meeting preparation and follow-up.
Educational Program Support
  • Coordinate program logistics from planning through execution, including scheduling, registration setup, speaker communication, and attendee support.
  • Provide live support and troubleshoot attendee or speaker issues as needed.
  • Track participation metrics, evaluations, and webinar analytics for reporting purposes.
Website & Content Management
  • Update and maintain website content, graphics, and program information.
  • Create and manage online forms and registration pages.
  • Ensure website content is accurate, timely, and user-friendly.
  • Monitor website analytics and assist with reporting.
Event Coordination
  • Support planning and execution of conferences, meetings, and educational events.
  • Assist with attendee registration, speaker coordination, and event communications.
  • Prepare event materials including signage, name badges, certificates, and printed collateral.
  • Coordinate event supplies, giveaways, and shipping logistics.
  • Provide onsite event support, including registration assistance and attendee engagement.
Donor & Sponsor Support
  • Assist with donor, sponsor, and partner communications, including acknowledgments, follow-up correspondence, and stewardship activities.
  • Maintain accurate donor and sponsor records within the organization’s database or CRM system.
  • Support sponsorship fulfillment by coordinating deliverables such as logos, advertisements, promotional materials, and event recognition.
  • Help track donor and sponsor engagement, contributions, and campaign participation.
  • Assist in preparing donor reports, sponsorship summaries, and fundraising materials.
  • Provide administrative support for fundraising campaigns, sponsorship initiatives, and donor outreach efforts.
Organizational & Administrative Support
  • Provide administrative support for daily association operations, ensuring efficient and organized workflow across teams and programs.
  • Manage incoming and outgoing mail, packages, and correspondence in a timely and professional manner.
  • Process check deposits and maintain accurate records of payments, invoices, and financial documentation in accordance with organizational procedures.
  • Assist with data entry, database maintenance, document management, and record retention.
  • Schedule meetings, prepare agendas and materials, and assist with meeting coordination and follow-up.
  • Maintain confidentiality and professionalism when handling sensitive organizational and financial information.
  • Assist with special projects and additional administrative responsibilities as assigned.
MINIMUM AND PREFERRED QUALIFICATIONS
  • Bachelor’s degree or equivalent experience
  • Three years of professional experience, preferably in non-profit membership organizations.
  • Demonstrated achievements in organizational skills, and administrative responsibilities.
  • Excellent oral and written communication and interpersonal skills, including presentation and networking skills.
  • Proficiency in Microsoft Office (Word and Excel) required, with the ability to learn new software.
  • Familiarity with Association Management Software and Web Content Management Systems.
  • Proficient in database management and communication systems.

WORKPLACE LOCATION REQUIREMENTS
This position operates in a hybrid work environment, with employees required to work onsite in the Washington, DC office a minimum of two days per week, in addition to remote work responsibilities. The role may also require onsite support at client locations, conferences, meetings, and association events as needed. Hybrid work eligibility and scheduling expectations are subject to successful completion of the onboarding and training period

TRAVEL REQUIREMENTS
Ability to travel at least 10%.

SCHEDULING REQUIREMENTS
Requires flexibility in scheduling, such as the ability to work evenings and weekends to meet client, event, or company needs.

  • Must be able to remain either in a stationary sitting position for extended periods (such as when working in the office), while also being able to stand and/or move for extended periods (such as when executing events onsite).
  • Need to lift, carry, push, or drag boxes or equipment up to 30 lbs.
  • Frequently moves inside the office to access filing cabinets, office machinery, etc.
  • Need to adapt and function in various physical settings (for example, conference centers, indoor and outdoor spaces).
  • Occasionally required to position self in a stooping, kneeling, or crouching manner.
  • Frequently communicates with others and must be able to exchange accurate information in these situations.
  • Frequently uses computers and other electronic equipment.
