The Administrative Assistant for the Operations Team provides high-level administrative and organizational support to ensure efficient day-to-day operations. This role requires strong attention to detail, proactive problem-solving, and the ability to manage multiple priorities while supporting leadership and cross-functional teams.
Key Responsibilities
Provide administrative support to Operations leadership, including calendar management, meeting coordination, and travel arrangements
Coordinate and schedule meetings across multiple teams, ensuring alignment with priorities and minimizing conflicts
Prepare meeting materials, agendas, and follow-up notes to support effective decision-making
Serve as a point of contact for internal and external stakeholders, ensuring clear and timely communication
Assist with planning and logistics for team events, offsites, and leadership meetings
Maintain organized records, documentation, and shared resources for the Operations team
Track action items, deadlines, and key deliverables to support operational efficiency
Identify opportunities to improve administrative processes and implement more efficient workflows
Assist with reception coverage and front desk responsibilities as needed
Support special projects and initiatives as needed
Qualifications
3+ years of administrative experience
Strong organizational and time management skills with the ability to prioritize effectively
Excellent written and verbal communication skills
High level of discretion and professionalism when handling sensitive information
Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams) or similar tools
Ability to work independently and collaboratively in a fast-paced environment
Preferred Skills
Experience supporting senior leadership or multiple stakeholders
Familiarity with project coordination or operations workflows
Strong problem-solving mindset with attention to detail
Ability to anticipate needs and take initiative
