ROLE SUMMARY
The Solar EPC Subcontracts Administrator is responsible for the lifecycle management of subcontract agreements supporting Engineering, Procurement, and Construction (EPC) solar projects. This role ensures contractual compliance, cost control, risk mitigation, and coordination between internal project teams and external subcontractors (civil, electrical, mechanical, and specialty trades).

ROLE SUMMARY
The Solar EPC Subcontracts Administrator is responsible for the lifecycle management of subcontract agreements supporting Engineering, Procurement, and Construction (EPC) solar projects. This role ensures contractual compliance, cost control, risk mitigation, and coordination between internal project teams and external subcontractors (civil, electrical, mechanical, and specialty trades).
ESSENTIAL JOB FUNCTION & RESPONSIBILITIES
Subcontract Administration
- Draft, review, and issue subcontracts, amendments, and purchase orders for EPC projects
- Ensure alignment with prime contract requirements and project specifications
- Maintain subcontract files, logs, and documentation in contract management systems
- Track deliverables, milestones, and subcontractor obligations
Commercial & Contractual Oversight
- Perform commercial evaluations of subcontractor bids in coordination with procurement
- Support contract negotiations (pricing, scope, terms, risk allocation)
- Identify and mitigate contractual risks (scope gaps, indemnities, insurance, LDs)
- Ensure compliance with company policies and project contractual frameworks
Change Order Management
- Administer subcontract change orders and claims
- Validate scope changes, cost impacts, and schedule implications
- Coordinate approvals with project management, engineering, and finance teams
- Maintain change order logs and audit trails
Cost & Payment Management
- Review subcontractor invoices against progress, milestones, and contract terms
- Coordinate with project controls for cost tracking and forecasting
- Ensure lien waivers, compliance documents, and deliverables are received prior to payment
- Support budget adherence and cost reporting
Compliance & Risk Management
- Ensure subcontractor compliance with safety, environmental, and regulatory requirements
- Monitor insurance certificates, bonding, and licensing requirements
- Support audits and ensure documentation is audit-ready
REQUIRED QUALIFICATIONS
- Bachelor’s degree in Business, Construction Management, Engineering, or related field (or equivalent experience)
- 3–7+ years of subcontract administration experience, preferably in solar EPC, renewables, or heavy construction
- Strong understanding of EPC contracts, subcontract structures, and project delivery models
- Familiarity with AIA, EPC, or bespoke contract formats
- Contract negotiation and commercial acumen
- Strong attention to detail and document control discipline
- Analytical skills (cost validation, risk identification)
- Communication and stakeholder management
- Ability to manage multiple projects in a fast-paced EPC environment
Preferred Qualifications
- Experience in utility-scale solar or renewable energy projects
- Knowledge of procurement and supply chain processes in construction
- Experience with contract management software (e.g., Procore, SAP, Oracle)
- Understanding of scheduling tools (Primavera P6, MS Project)
