Key Responsibilities:
This is an open-ended post based in Camarines Sur.
Major Responsibilities
Database Management
Manages, updates/upgrades and maintains SSUI (HOPE) and GN databases
Administers basic to complicated technical application and troubleshooting
Manages the security of the sponsorship databases (hardware and software) including availability and implementation of the disaster management plan at the area office
Collaborates with IMTS, SDMS and/or co-CDAs maximizes its support on issues related to database management
Ensures accurate, timely and updated information in SSUI (HOPE)
Respond to GC/NO and SQS e-mails related to database concern in a timely manner
Child Data management
Acts on RC lists reconciliation with the community lists
Ensures timely entry and updating of child’s data in Horizon-HOPE (Annual and Semi-Annual Child Monitoring, Child’s Presence, Support and Participation) using Horizon Mobile or Desktop
Ensure all mobile horizons are updated and in synced with SSUI (HOPE).
Manages custody of sponsorship records such as child and sponsors’ files. This includes keeping of confidential sponsors’ address/information stored in SSUI (HOPE)
Manages child record drops and reports within the agreed time
Manages custody and ensures completeness of individual child folder
Conducts final check of the data/information to ensure quality before entry in the database
Manages Child Case Management by ensuring that Child Monitoring Follow-up is acted on time by the Program Officer and entered in (SSUI) HOPE
Takes primary responsibility of sponsorship data control, including the integrity of data collected
Sponsorship Technical Support
Provides support in preparing/educating families and communities for sponsorship
Participates and contributes to the processes of the critical path related to sponsorship including the use of sponsorship related tools (Designing, Monitoring and Evaluation) in new AP
Provides coaching and support in establishing and strengthening a community-based child monitoring mechanism through regular meeting and input of Sponsorship requirement and standards
Manages complete package of documents for new growth which includes CH, CGP, CGVs and IL)
Provides support to the ADP team in the on-going creative sponsorship education to registered children, other target vulnerable children and communities
Collaborates with community child monitors to improve strategies related to sponsorship management
Sponsorship Operations Services
Manages correspondences (IL, EL, SL, GAL, Query) adhering to partnership sponsorship standards
Facilitates related processes in the preparation of Annual Progress Report (APR) and Greeting Card (Christmas Card) including ensuring that all RCs have an updated CUP uploaded in SSUI (HOPE) and CUV for International APs.
Provide support to the Team in capturing community videos, uploading and translation.
Integrates delivery of sponsorship correspondences to and from RC in the various sponsorship and AP processes and ensures turnaround time within the standard
Provides support in the implementation of other sponsorship requirements such as Gift Notifications (GNs), Noche Buena Distribution and Birthday Bounce backs in the AP
Establishes an agreed correspondences turnaround time with the children and families of RC as confirmed by the Program Partner
Reconciles GN funding against the GN actual utilization
Ensures quality of sponsorship correspondences and sponsorship technical reports
Ensures mailing of correspondences and reports to sponsors within standard
Respond to queries from sponsors and support Program Officers in coordination for sponsors/donors visits
Report Generation
Generates and provide accurate and regularly updated sponsorship reports with analysis on the data related to correspondences, child monitoring, etc. based on agreed time/schedule
Ensures sponsorship reports are shared immediately to AP team and participates in the analysis to inform programming
Generates and prints child list every end of Fiscal Year and manages custody of child files
Provide monthly comprehensive reports to AP team (RMT reports vs Share Report) and periodically prepare and submit semi-annual and annual reports for analysis and monitoring
Organizational Contribution
Supports Program Officers (role in their absence) in sponsorship integration to programming
Supervises child monitors in the community
Perform and/or support in administrative tasks (i.e., VRs, PRs, Liquidations, facilitation of office business permit, etc.)
Attends regular team devotion as part of staff spiritual nurturing and staff development activities
Participates in meetings, such as team and organizational including CSO meetings, as necessary
Submits Performance Agreements and Reviews and Staff Learning and Development Plan
Supports emergency response, as necessary
Observes good working attitude in and outside work premise to promote organizational culture and excellence
Performs such other functions as may be prescribed by the direct supervisor when deemed necessary to uphold office and field operations
Qualifications
Bachelor’s Degree in Information Technology or other related courses
Background in data management, data analysis and computer operations
Skills in System Operations and Data Management
Experience in managing child sponsorship and communications with Support Offices
Experience in facilitating meaningful child participation activities
Knowledge on community-based implementation strategies
Analytical, with attention to details, a team player, pressure-tolerant (with sense of urgency) and can work under pressure
With basic facilitating skills for community-based training
With organizing skills for children and for any community-based activities
