
Administrative Assistant (24322)
Job Description
As a Administrative Assistant at the Early Learning Center, you will provide technical, administrative, and clerical support. This support will be for both Early Head Start (EHS) and Neil Hellman Preschool (NHPS) programs. You will report to the Office Manager and work onsite.
Responsibilities:
- Provide a welcoming and inviting environment for children, families, staff and the community
- Promote and support a collaborative approach to teamwork and partnership between the Early Learning Center programs
- Provide general administrative and project support to the team.
- Help with data management using multiple software and databases, including running reports as assigned
- Manage NHPS client files, audit for file content, close and transfer to the records department in Albany
- Close EHS client files
- Process requests for information following Agency policy and Center procedure
- Prepare and manage communication regarding NHPS CPSE evaluations
- Assist program management staff
- Follow opening and closing procedures for the Early Learning Center
- Operate and maintain office equipment
- Process requests for office supplies, monitor inventory, and maintain organization of office supplies
- Process requests for EHS diaper/wipes supplies, monitor inventory, and maintain organization of diapers and wipes supplies
- Follow-up with families regarding enrollment documents needed to process applications
- Help prepare documents for EHS Policy Council, Board Meetings, and in-kind tracking.
- Maintain lobby TV signage and other signage
- Audit NHPS student attendance and document absences in appropriate databases
- Help with emergency preparedness at the Center, including fire drills, shelter-in-place drills.
Requirements and Education:
- Associate's degree and two years of related experience required.
