Job Title: Sales Coordinator, Hotel
Reports To: General Manager

Job Summary
The Hotel Sales Coordinator assists the sales department in generating revenue through effective coordination of sales activities, client relationships, and event planning support. This role serves as a liaison between clients and hotel departments to ensure smooth execution of bookings, meetings, conferences, and special events.
Key Responsibilities
- Assist the sales team with administrative and clerical duties.
- Respond to inquiries from prospective and existing clients.
- Prepare proposals, contracts, banquet event orders (BEOs), and sales presentations.
- Coordinate group reservations, meetings, conferences, and special events.
- Maintain accurate client records in CRM and hotel management systems.
- Schedule appointments, site inspections, and client visits.
- Track sales leads and follow up with potential customers.
- Generate sales reports and monitor booking activity.
- Coordinate with operations, catering, front office, and housekeeping teams to fulfill client requirements.
- Support marketing campaigns, trade shows, and promotional activities.
- Process contracts and ensure compliance with hotel policies.
- Assist in achieving departmental revenue and occupancy goals.
Qualifications & Experience
- High school diploma or equivalent; associate or bachelor’s degree in hospitality, Business, or related field preferred.
- Previous experience in hospitality, sales, customer service, or event coordination preferred.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience with hotel property management systems (PMS) and CRM software is a plus.
- Ability to work independently and as part of a team.
Work Schedule/Environment
- Office setting within a hotel or resort.
- Frequent interaction with guests, corporate clients, and internal departments.
- May require occasional evening or weekend work during major events or peak seasons.
Physical & Mental Requirements
- Must be able to stand or walk a minimum eight (8)-hour shift and work inside assigned bar area in the venue.
- Must be able to twist, tow (push or pull), reach, bend climb and carry objects as necessary.
- Must be able to lift and carry 25-50 pounds.
- Must be able to work inside and outside at all times of the year as needed, based upon business volumes.
