POSITION SUMMARY: The HR Assistant supports the day-to-day HR operations and recruitment activities for the Gaza Field Office. Reporting to the HR Coordinator, the HR Assistant provides administrative and clerical support across payroll, documentation, recruitment, and staff relations. The role ensures accuracy in HR records, assists in recruitment logistics, and contributes to maintaining compliance with Project HOPE policies, donor requirements, and Palestinian labor law. Principal Responsibilities HR Operations Support Assist with preparation and collection of payroll inputs (timesheets, attendance, leave records). Support the maintenance and updating of HR trackers (contracts, benefits, staffing lists). Ensure personnel files are complete, organized, and securely maintained. Prepare HR letters and documentation (contracts, renewals, promotions, transfers, resignations). Provide administrative support for office HR functions, including filing, scanning, and uploading documents to shared systems. Recruitment Support Assist in posting job vacancies and managing applications. Coordinate interview schedules, candidate communications, and logistics. Support preparation of recruitment documentation and ensure proper filing. Assist in onboarding new staff, including collecting required documents and coordinating orientation sessions. Staff Relations Administrative Support Act as a first point of contact for routine employee queries on HR policies and procedures. Support staff orientation and training logistics. Assist in organizing HR-related meetings, workshops, and staff engagement activities. Provide clerical support to HR Coordinator and HR Officers as needed. Compliance Reporting Ensure HR documentation complies with organizational policies and donor requirements. Assist in preparing HR reports and updates for HR Coordinator and leadership. Support internal audits and donor reviews by preparing HR files and documentation. Other Duties Perform other HR-related tasks as assigned by the HR Coordinator. MINIMUM QUALIFICATIONS: Bachelor’s degree in Accounting, Finance, Business Administration, Human Resources, or related field Basic knowledge of HR operations, recruitment processes, and labor law. Strong organizational and communication skills; attention to detail and confidentiality. Proficiency in Microsoft Office and HR systems. Fluency in Arabic required; English proficiency preferred. High attention to detail and strong analytical skills. Strong organizational and documentation capacity. High level of discretion, integrity, and confidentiality. Fluency in Arabic and English.
