Job Description

Title: Administrative Assistant 

Department: Main Office

Reports To: Asst. Principal for Student Life and Asst. Principal for Curriculum & Instruction

Classification: Non-exempt/ 10 months Full-time

Position Summary: To work at the discretion of the Assistant Principal for Student Life and Assistant Principal for Curriculum

 

Key Responsibilities:

  • Manage scheduling of faculty observations for both Assistant Principals
  • Maintain master school calendar for website
  • Edit and update yearly calendar 
  • Edit and update student contracts 
  • Maintain and update teacher chaperoning duties lists
  • Update teacher ICAN/Spirituality chaperoning list
  • Assist with coordination of "Club Rush"
  • Edit and update Administrative Activity Period Schedules
  • Create and distribute all schedule changes and special schedules and coordinate with technology office
  • Create spreadsheets for Homerooms with student counts for each semester
  • Edit and update all lists and information for fire and security drills
  • Update Evacuation and Shelter Plan
  • Edit and Update "Home Base" spreadsheets 
  • Edit and update faculty room assignments for parent/teacher conferences 
  • Responsible for record keeping and paperwork regarding Academic Strength and Conditioning Center
  • Assist with Junior Ring orders and Junior Unity Day celebration
  • Create/manage Google Form responses for Fall and Spring Productions for faculty and staff
  • Coordinator of underclass academic awards ceremonies
  • Complete all duties associated with AP Exams as directed by the Assistant Principal
  • Responsible for distribution of Dress Down Day envelopes to all classes 
  • Complete all duties associated with Graduation as directed by the Assistant Principal
  • Responsible for end of the year paperwork for faculty
  • Serve as backup to the Substitute Teacher Coordinator

Educational Requirements:

  • College Degree preferred
  • Post secondary education in business, computers, or office management is an asset
  • 1-3 years of experience in an office setting preferred

 

Other:

A background and fingerprint report will be conducted and submitted to State authorities as required by law for all personnel working within a school environment. Must be willing to undergo Notre Dame High School VIRTUS certification
