Role Summary

Key Responsibilities

The Operations Assistant will either be directly responsible for implementing the tasks below or provide oversight of staff and departments that perform these functions.

Core Tasks

  • Lead all aspects of the management and maintenance of TBI-managed property in Kyiv
  • Ensure all staff have access to the tools and resources needed to deliver high-quality work from our Kyiv office
  • Support visa and work permit applications where needed for staff in Kyiv, and all related administrative processes for employment
  • Support the advisory team’s work as capacity allows, e.g., undertaking junior-level analysis, supporting business development proposals, providing translation assistance, etc.

Business Support Functions

  • IT: Coordinate with central IT and HR onboarding teams to ensure all staff have functioning equipment from day one
  • HR & Staffing: Manage new staff onboarding, provide guidance on HR and staffing policies, and support ongoing visa and work permit queries
  • Admin: Provide logistics and administrative support to the country leadership team
  • Visas & Travel: Handle visa applications and arrival procedures for international staff and visitors

Office Operations

  • Onboard and oversee local vendors, including cleaners, local IT as required.
  • Ensure Ukrainian government and company policies are being followed regarding protocols and procedures.
  • Support projects with leadership visits and events as needed in the region, with the logistics coordination between the teams involved.
  • Liaise with the Regional Security Manager to ensure protocols are followed and identify and flag operational risks to the Country Director.
  • Participate in the crisis management team in the event of a medical or security emergency.

Team Support

  • Provide informal translation and interpretation support, e.g., for high-level meetings, important documents, etc.
  • Work with the advisory team to support business development proposals and large analytical projects
  • Develop discrete briefing materials as required
  • Maintain and improve dedicated CRM for the office, including client and donor networks
     

It is also expected that the postholder will cover any other duties as required, where capacity and availability permit. These duties will be communicated in advance and, where possible, agreed with the Country Head.

Person Specification

  • Delivers high-quality, workable solutions with close attention to detail, even under competing priorities
  • Proactively engages across the business, bringing a bold, solutions-first mindset
  • Drives operational efficiency and helps mitigate risk to people, assets, and reputation
  • Builds trust and acts as a credible ambassador for the team
  • 2+ years of hands-on experience in operations, logistics, and administration
  • Direct experience working with the Ukrainian government and/or international organisations is strongly preferred
  • Fluent in written and spoken English and Ukrainian
