Administrative Secretary I - Office of Professional Learning
Center for Education Services
Grade 7 Step 1 with a starting hourly rate of $20.40. Potential future earnings for this position on the ESP Salary Scale are $20.40 - $36.90
7.5 Hours/Day, 12-Month Work Year

Reports to Supervisor of Professional Learning

Role Overview - To provide administrative support and assist and relieve administration of paperwork and impediments so that they may devote maximum attention to education and educational administration.

Minimum Requirements
High School Diploma/GED.
Three (3) years' successful secretarial experience and/or secretarial training.
Accurate typing/keyboarding skills.
Demonstrated experience and skill in a variety of relevant software and electronic communication tools, including presentation, word processing, spreadsheet, and database applications.
Budget management experience.
Regular and predictable attendance which is an essential function of this position.
Ability to perform the essential functions of the job with or without reasonable accommodations.

Preferred Qualifications
Excellent customer-service oriented skills.
Excellent verbal and written communication skills.
Familiarity with a wide variety of technology tools and their use; including Microsoft applications (Word, Excel, PowerPoint, Access, OneNote, Outlook, Publisher), Google Apps, iTunes, Apple App Store, videoconferencing technology, Google Suite, etc.

Role Responsibilities
Serve as a Frontline "Superuser," maintaing full system integrity and managing user permissions and professional learning roles.

Act as the subject matter expert for the Division of Curriculum, providing training to content specialists and supervisors on effective system utilization in Frontline.

Enter approved MSDE courses into the Frontline management system through a coordinated effort involving the instructor, district-level staff, and relevant educational institutions.

Maintain digital records including attendance, course forms and course evaluations related to the professional learning management system (Frontline) for MSDE Courses and workshops.

Support WCPS staff on how to use the Frontline Professional Growth System to register for workshops and MSDE Courses.

Maintain professional, clear, and responsive email communication regarding MSDE credit eligibility.

Collaborate with the Supervisor of Professional Learning and Division of Curriculum to determine the quarterly course offerings for WCPS teachers.

Coordinate with the certification department to process MSDE credit forms accurately and maintain records within Google Classrooms and Frontline.

Coordinate all calendar events, meeting materials, room set-up, and scheduling for meetings as needed.

Develop and manage complex spreadsheets to track program performance, budgets, and reporting.

Support and organize the Teacher Induction Academy including the payment process.

Manage communications, calendars, and contacts in Office 365/Outlook.

Work within WCPS and community agencies to advance interoffice and community efforts.

Demonstrate flexibility to support a favorable customer service orientation with quality communication with all stakeholders.

Support the maintenance of supplies and vendor contracts.

Demonstrate a willingness for personal learning with the acceptance of new tasks and assignments.

Maintain high level of confidentiality in conducting office business/assignments.

Provide back-up clerical support to other office personnel as needed.

Demonstrate courteous and professional demeanor to all employees of Washington County Public Schools.

Required prolonged periods of sitting at a desk and working on a computer and other office equipment.

Ability to sufficiently and efficiently move throughout the building.

Ability to maintain emotional control under stress.

Ability to move, raise, lower, and carry objects up to 20 lbs. on an irregular basis.

Must be able to bend, crouch, stoop, reach, and climb. 

Will be subjected to loud noises, interactions, and traffic flow associated within a highly populated office environment.
