QUALIFICATIONS:
Education:
- High School diploma required
- 1+ years of administrative experience in a professional or academic optometry setting
Experience and Training:
- Ability to speak fluent English is required, Spanish preferred but not required
- Demonstrated experience with insurance verification for major vision and medical insurance companies
- Proficient in understanding insurance benefits, including copays and deductibles
- Proficiency with basic Microsoft Office programs, including Microsoft Word and Outlook
- Experience with the use of electronic health record (EHR) systems
Knowledge, Skills, Ability:
- Strong interpersonal and communication skills
- Self-motivated with a proactive approach to problem-solving and a commitment to accuracy and detail
- Basic knowledge of medical billing and coding practices
- Excellent organizational and time management skills, with the ability to prioritize multiple tasks effectively
- Ability to work independently and collaboratively within a team of various groups of faculty, staff, students, and external partners
- Knowledge in HIPAA and OSHA regulations
ESSENTIAL FUNCTIONS:
- Greet and check in patients with professionalism and courtesy, ensuring a welcoming environment for the patients.
- Check out patients with professionalism and courtesy, ensuring a warm final experience
- Schedule, confirm, and modify patient appointments in the clinic’s electronic scheduling system
- Answer phone calls, respond to inquiries, and route messages appropriately to clinic staff or faculty
- Provide clear information to patients regarding appointment details, required documents, insurance coverage, and clinic policies
- Verify insurance eligibility and benefits prior to the patients scheduled appointment
- Creating contact lens orders within the electronic health record (EHR) system and notifying patients in a timely manner once their order has arrived
- Accurately enter demographic information, including insurance details into the electronic health record (EHR) system
- Completing prior authorizations for procedures or medications upon request
- Assisting with patient coordination of care, including referrals to other healthcare professionals
- Collect copays, deductibles, outstanding balances and self-pay fees in accordance with clinic policy
- Coordinate with clinic staff, students, and faculty to ensure smooth patient flow and efficient clinic scheduling
