In this role, you will supervise program coordinators and clerical support staff, organize events, and maintain essential records. Your efforts will directly contribute to a functional and supportive office atmosphere, benefiting both staff and clients.

Key Responsibilities:

  • Collaborate with your team to identify and solve office challenges.
  • Supervise Office Assistants and Clerical Support staff.
  • Oversee Program Coordinators in association with the Regional Director and Assistant Regional Director.
  • Assist with onboarding new associates, ensuring they attend New Hire Orientation.
  • Collect and enter new hire I-9 information into the HRIS within three days of hire.
  • Support Program Coordinators in managing staffing events and changes within the HRIS.
  • Help new associates access their email and Relias Training.
  • Maintain tracking databases for associate documentation, including vehicle insurance and driver's licenses.
  • Create and maintain necessary communication codes for new hires.
  • Provide training on the office phone system.
  • Act as receptionist or back-up according to the local schedule.
  • Assist in administrative recordkeeping for the Regional Director and Assistant Regional Director.
  • Develop and maintain a filing system that meets compliance.
  • Ensure the office is operating during scheduled hours.
  • Order office supplies as needed and oversee office equipment maintenance.
  • Uphold confidentiality in accordance with HIPAA policy.
  • Foster a positive team environment and actively participate in health and safety procedures.

Education, Experience, and/or Credential Qualifications:

  • High School Diploma or equivalent required.
  • Associate's Degree from an accredited college or university preferred.
  • One year of clerical experience in a related field preferred.
  • Two years of supervisory experience preferred.

Additional Qualifications:

  • Must have a reliable means of communication.
  • Ability to read, write, and comprehend simple instructions and correspondence.
  • Skills to present information effectively in one-on-one and small group situations.
  • Knowledge of database, spreadsheet, and word processing software.
  • Demonstrate responsible and independent work habits.
  • Strong time management and organizational skills with the ability to multitask.
  • Awareness of confidentiality and professional ethics.
  • Experience with Excel and Google Sheets required.
  • Experience with QuickBooks preferred.

Physical Requirements:

  • ADA Consideration - Sedentary work: Exerting up to 10 pounds of force occasionally (exists up to 1/3 of the time) and/or a negligible amount of force frequently (exists 1/3 to 2/3 of the time) to lift, carry, push, or pull, or otherwise move objects, including the human body.
  • Sedentary work involves sitting most of the time but may involve walking or standing for brief periods.
