About the role Position Objective The Senior HR Assistant is a positive engagement ambassador for HR Department and is responsible to assist the Human Resource Department in training and development, employee engagement, communications and partial HRBP role. This position acts to demonstrate professionalism and a strong customer service approach to provide the best HR service to stakeholders. Responsibilities Senior HR Assistant reports directly to HR Assistant Manager, and perform a full range of duties, including but not limited to: 1. Training Logistics Support • Coordinate all logistical arrangements for internal and external training programs, workshops, and development sessions, including venue booking, material preparation, catering, and attendance tracking, ensuring smooth and effective delivery. • Provide administrative support throughout the training process, including participant registration, managing training calendars, tracking attendance, and collecting post-training feedback. • Maintain accurate records and documentation related to training activities, including compliance reports and evaluation summaries. • Support to build and maintain a centralized training hub; support the design and delivery of both online and offline learning activities. 2. Engagement Well-being Activities • Support to build plan and implement engagement activities that promote wellbeing and encourage the motivation and engagement of employees. • Organize and execute employee engagement initiatives and events (e.g., engagement activities and events, wellness initiatives, etc). • Collect and analyze feedback from staff on engagement activities to continuously improve experience and participation. • Maintain an annual engagement calendar and ensure timely communication and implementation of all events. 3. HRVN Communications • Draft and disseminate internal HR communications in both English and Vietnamese, ensuring clarity, consistency, and alignment with HR initiatives. • Maintain HR Hubs and digital channels to keep employees informed of key updates, policies, and events. • Ensure HR communications reflect the organization’s tone, branding, and cultural sensitivity. 4. HRBP support • Support HRBP in recruitment and expatriate-related mobility, including work permits and visas / TRC for entire employment. • Actively take the role of HR gatekeeper for Safer recruitment compliance and issues by controlling and tracking systems, reports, and data. • Support onboarding/offboarding processes and other general HR administrative tasks as assigned. • Assist in maintaining and updating HR records, databases, and personnel files. • Contribute to HR projects and initiatives as required. • Perform various administrative functions and other ad hoc activities as required. Position Requirements • University degree with at least 3 years of experience in HR. Experience in training and development is a plus. • Experience in managing expatriate services, including work permit applications, Temporary Residence Card (TRC)/visa processing, and related government compliance procedures. • Excellent oral and written skills in Vietnamese English • Good at MS Office presentation skills Qualifications • Ability to maintain a high level of confidentiality in handling sensitive information • Superior follow up, organization, and time management skills • Excellent written and verbal communications skills with the ability to work effectively in a team • Open-minded with the ability to follow instructions and deliver quality results • Ability to deal with ambiguity with strong judgment and problem-solving skills • Highly organized with strong attention to detail and accuracy • Ability to manage multiple projects in a fast-paced and deadline-driven environment • Ability to design simple newsletter, video, ppt., etc. Contacts • Staff, departments, and all school stakeholders Working Conditions • Working Hours: 8:00 am – 5:00 pm, Monday to Friday.
