PURPOSE OF THE ROLE
Reporting to the Senior Marketing Director, AGM, the Marketing Operations Specialist plays a pivotal role in enabling effective, compliant, and efficient marketing execution across APAC & Growth Markets. The role partners closely with cross functional stakeholders to coordinate key operational processes, ensure adherence compliance standards, and support the smooth delivery of marketing activities. 


PRIMARY ACTIVITIES 
This role will incorporate – but not be limited to – the following:

Marketing Content Review Board (CRB):
• Act as the AGM CRB Coordinator and subject matter expert (SME), facilitating the CRB process and serving as a key resource for Veeva utilization.
• Set up and manage review meetings, ensuring all stakeholders are engaged and deadlines are met.
• Ensure the CRB process flows smoothly from submission to approval, maintaining clear communication and documentation throughout.
Contract Management & Compliance Reporting (MedCompli):
• Administer MedCompli entries for marketing activities, to ensure accurate submissions and timely reporting.
• Collaborate with cross-functional partners, including legal and finance, to manage marketing-related contracts 
• Provide training and support to regional stakeholders (marketing, FCM) on MediCompli processes.
• Monitor contract timelines, renewals, and amendments, and ensure all necessary documentation is in place for marketing activities.
Event Coordination:
• Assist in the planning and execution of AGM marketing events, including conferences, training, and other initiatives.
• Coordinate logistical aspects of events, such as venue selection, vendor management, travel arrangements, and onsite setup.
• Support registration processes, attendee communication, and database management to ensure smooth event operations.
• Organize all the necessary logistics involved for compliance, with the aim of respecting local/regional laws and regulations.

Operations Support:
• Assume the role of Subject Matter Expert (SME) for the registration platform (Aventri/Stova).
• Serve as the primary point of contact and subject matter expert in AGM for our sales enablement platform, Showpad.
• Act as the SME and accountable individual for vendor management within the AGM marketing department, including processing PO requests.
• Provide comprehensive administrative support to the Senior Global Operations & Events Manager in overseeing budgets, timelines, schedules, and monitoring the global marketing budget.
• Contribute to the development and implementation of streamlined processes to enhance event operations and overall efficiency.
• Collaborate with external agencies, vendors, and partners to ensure the timely delivery of marketing materials and assets.
• Undertake additional responsibilities as delegated by the Senior Marketing Director, AGM.
Cross-functional Collaboration:
• Collaborate closely with internal stakeholders, including sales, healthcare professionals, marketing teams and medical affairs, to align marketing efforts with business objectives.
• Liaise with key opinion leaders and healthcare professionals to facilitate their participation in marketing activities and events.
• Serve as a primary point of contact for inquiries and request related to AGM marketing initiatives, materials, and events, providing timely and accurate information as needed.

Key Functions of the Marketing Operations Role:
• Uphold personal ethics aligned with LivaNova's values and culture, advocating for an Ethics and Compliance culture throughout the marketing team.
• Provide comprehensive support to the marketing team in the Content Review Board (CRB) process, serving as the coordinator and primary resource for Veeva.
• Promote the Procure-to-Pay (P2P) process within the team, ensuring adherence to established procedures.
• Act as the liaison with Accounts Payable (AP) to facilitate timely vendor setup and payments.
• Ensure contributions to the operational efficiency of the region by processing requests accurately and in a timely manner.
• Collaborate effectively with other Marketing Operations specialists to achieve team objectives and enhance overall performance.

TRAVEL REQUIREMENTS
• This position may require moderate business travel of 10% or more.

REQUIREMENTS & QUALIFICATIONS
• Sound understanding of marketing principles
• Strong organizational skills and effective project management skills with the ability to manage multiple projects simultaneously and meet tight deadlines.
• Computer proficient with Microsoft Office, Adobe InDesign, and Adobe PhotoShop
• Experience with event management software is a plus.
• Excellent written and verbal communication skills, with a keen attention to detail.
• Fluent in English. Other languages are a plus
