Key responsibilities and day to day responsibilities of this position: You will have a close and confidential relationship to the Office Director. Primary duty is to provide structure and hold him accountable so he can successfully manage his workload. You will also need to work independently and provide administrative support for programs within the office. Duties include: Alert director to staff recognition and other staff needs Capture action items Provide information and respond to inquiries or complaints from the public Coordinate and schedule projects and/or activities Relieve director of administrative detail Take meeting notes Create and edit written materials Coordinate/schedule meetings, meals, equipment, etc Maintain calendars, schedules and coordinate appointments and travel arrangements Purchasing; shipping, perform routine accounting duties. May supervise subordinate staff, determining workload, delegating assignments, training, monitoring, and evaluating performance as well as initiating corrective or disciplinary action. Example of Tasks Provides administrative support. Acts as a resource to provide information or determine the most effective way of meeting the needs of management, staff, and members of the public. Reviews incoming correspondence; initiates replies as appropriate; routes matters requiring action by staff or other organizations and follows up to ensure actions are completed. Schedules and/or coordinates appointments, meetings, facilities, meals, equipment, etc. and follows up as needed. Serves on various committees, or task forces to coordinate agency activities and facilitate agency goals and initiatives. Performs basic accounting duties to include supply or equipment expenditures, tracking of inventory, etc. tSupervises subordinate personnel including: hiring, determining workload and delegating assignments, training, monitoring, evaluating performance, and initiating corrective or disciplinary actions.
