Summary: The Payroll Specialist is responsible for the accurate and timely processing of payroll for all district employees. This position ensures compliance with federal/state/local regulations and district policies while providing exceptional customer service to staff regarding payroll-related inquiries.
Essential Duties and Responsibilities Essential duties of this position include but not limited to the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
Prepare and process bi-weekly/monthly payroll for all district employees, including teachers, administrative staff, and support personnel.
Ensure accurate calculations of wages, overtime, supplemental pay, and deductions. Confer with a variety of internal and external parties (county/state agencies, etc.) to ensure compliance and accuracy.
Enter payroll data into the payroll system (School ERP Pro), including new hires, terminations, and transfers in employment status. Assist in reviewing and processing extra-duty time sheets for payment including review of account coding and creation of supplemental positions in Visions.
Follows and maintains knowledge of District policies and procedures. Assist with audits for compliance with local, state and federal laws, including but not limited to preparing materials.
Process and Monitor employee leave plans and requests. Perform routine internal audits of leave plans to ensure accuracy.
Effectively communicate with direct supervisor to resolve payroll discrepancies or issues. Responds to questions and resolves payroll issues within scope of authority with appropriate written or verbal communication.
Assists in authorizing bi-weekly payments to annuity companies for the purpose of ensuring ongoing contributions elected by employees.
Assists in compiling statistical and payroll data from a variety of sources (e.g. timesheets/payroll, salary adjustments, tax deposits, etc.) for the purpose of providing summaries to other personnel, and/or ensuring compliance with established guidelines.
Assists in preparing a variety of payroll related documents (e.g. invoices for overpayments, retirement plan transfers, payroll register, stop payments, W-2 controls, reports, memos, letters, garnishments, child support payments, dues to associations, tax shelters, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
Assists in managing the district's automated time and attendance tracking system, TimeClock Plus.
Responds in a timely fashion to employment verification requests.
Participates in meetings, in-service training, workshops, etc. for the purpose of conveying and/or gathering information required to perform job functions.
Maintains confidentiality of sensitive information.
Performs general clerical functions (e.g. scheduling, copying, scanning, data entry, filing, answering telephone, greeting individuals, etc.) for the purpose of supporting office operations.
Completes a large volume of work, sometimes with short timelines to meet established deadlines.
Performs work beyond a standard 40-hour work week when work-load requires.

Exceptional accuracy and attention to detail in data entry and payroll calculations.
Strong analytical and problem-solving skills to resolve payroll discrepancies.
Ability to maintain strict confidentiality of sensitive payroll and employee information.
Excellent organizational and time management skills, with the ability to meet tight deadlines.
Education and/or Experience
High School Diploma or G.E.D.
Background in Accounting required.
One to three year's experience in a business office setting.
Demonstrated computer literacy required; word processing and excel required.
Ability to communicate and work well with staff.
Working Environment The usual and customary methods of performing the job's functions require the following physical demands; the employee is frequently required to sit; reach with hands and arms and talk or hear. The employee is occasionally required to stand; walk. The employee must occasionally lift and/or move up to 50 pounds. The noise level in the work environment is usually moderate.
Terms of Employment
Salary based on column E of the Classified Salary schedule as established by the Governing Board.
12 month position, 8 hours per day.

Evaluation Performance of this position will be evaluated annually by the Assistant Director of Finance in accordance with Governing Board Policy.
