TxDOT’s El Paso District Maintenance Office is seeking an Administrative Assistant II or III to provide administrative support in a fast-paced office environment. This position plays an important role in supporting daily operations through communication, scheduling, records, reports, purchasing support, travel coordination, and customer service. The ideal candidate is detail-oriented, professional, and able to manage multiple priorities while working with staff, managers, and internal/external customers.
Salary/ Plan Grade:
Administrative Assistant II (A15): $38,976.00 - $58,045.00
Administrative Assistant III (A17): $42,976.00 - $64,469.00

ADMINISTRATIVE ASSISTANT II:
Performs administrative office support-related work for department staff, the general public, and one or more projects and/or specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
ADMINISTRATIVE ASSISTANT III:
Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties:
Administrative Assistant II or III:
Assists in reviewing, analyzing and evaluating program content in order to monitor and develop administrative policies and procedures and to identify problems and recommend solutions.
Attends meetings with supervisor; takes notes, summarizes, and follows up on any actions that need to take place.
Coordinates and tracks the progress of projects and specialized programs and informs supervisor or other Department officials of status.
Uses database, spreadsheet or graphics software applications to prepare complex statistical reports and/or presentations and verifies for accuracy and completeness.
Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.
Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information.
Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and submitting reimbursement on the traveler’s behalf.
Performs other job responsibilities as assigned.
Additional duties for Administrative Assistant III:
Receives requests for information, conducts background research, compiles pertinent data, and disseminates information.
Trains other clerical or technical staff.
Minimum Qualifications:
Education:
Administrative Assistant II or III: High School Grad or Equivalent in general education.
Experience:
Administrative Assistant II: 1 year of experience in administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Administrative Assistant III: 3 YEARS administrative or clerical support, customer service, business operations, communications, informational, or related experience. Licenses and Certifications: Valid US driver’s license. This position requires driving a state vehicle.

Physical Requirements and Working Conditions:
- Light work: Lift up to 20 lbs at a time and frequently lift or carry objects up to 10 lbs
