Performs administrative support-related work in a maintenance office or district headquarters. Work requires contact with private entities. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Essential Duties:

Maintenance Support Tech I:

  • Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front
    desk assistant.

     

  • Assists in preparing monthly and final maintenance contract estimates.
  • Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with Business Services on
    adjustments needed.

     

  • Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance,
    budgeting, maintenance, inventory, contracts, purchasing, travel information, and/or permitting activities.

     

  • Monitors and assists with data entry for maintenance contract record keeping.

     

  • Reviews and processes records of completed maintenance projects.
  • Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or
    equipment and monitors contracts.
  • Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and
    travel arrangements.
  • Processes receipts and invoices for payment.
  • Performs other job responsibilities as assigned.

     

     

    Maintenance Support Tech II (in addition to the above):

  • Assists with data entry for construction record-keeping.
  • Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and
    sensitive communications.

     


     Maintenance Support Tech III (in addition to the above):

  • Create and maintains related activity logs, files and reports on services.
  • Logs, files, and cross-references correspondence; and verifies documents/records.
  • Prepares monthly and final maintenance contract estimates. 

     

  • Maintains materials inventory.

     

     

     Maintenance Support Tech IV (in addition to the above):

     

     

  • Trains other clerical or Technical Staff
  • Provides technical assistance to others in using personal computer and/or software applications
  • provides assistance to the public

Minimum Qualifications:

Education: 

Maintenance Support Tech I - IV: 

High School Grad or Equivalent in general education

Experience: 

  • Maintenance Support Tech I - No experience needed

  • Maintenance Support Tech II - 1 year experience*

  • Maintenance Support Tech III - 3 years' experience* 

  • Maintenance Support Tech IV-4 years' experience*

*Experience must be in administrative or clerical support, customer service, or related experience. 

Licenses and Certifications: 

Maintenance Support Tech I - IV: 

  • Valid driver’s license. This position requires driving a state vehicle.

Physical Requirements and Working Conditions:

Maintenance Support Tech I - IV:

  • Sedantary work: Lift up to 10 lbs. at a time and occassionally care files/ small tools
  • Light work: Lift up to 20 lbs. at a time and frequently life or carry objects up to 10 lbs.

  • Required to work weekends and holidays.
  • Required to work hours other than 8 to 5.
  • Employee may be contacted after hours and on weekends to respond to emergency situations and must be able to respond within 45 minutes of notification
