Job Description

WHAT YOU WILL DO
Work as the Logistics & Sales Support, you’ll handle full process repair order processing for payment terminals, coordinate cross-team workflows for timely turnarounds and great customer service, and support MY office admin & HR confidential operational tasks.

To break it down, your responsibilities will include:
Repair Order Management
• Receive and validate repair requests from customers or internal departments.
• Create and maintain repair orders in the ERP/CRM system (e.g., Syspro, Salesforce, or equivalent)
• Create PI ( Performa Invoice) in customer portal.
• Assign and track repair jobs to technicians based on service type, warranty status, and priority.
• Monitor repair progress and ensure timely completion within agreed SLA.
• Update order status and repair details in the system accurately.
Coordination & Communication

Documentation & Reporting
• Ensure all service documentation (job sheets, test reports, invoices) is complete and accurate.
• Generate repair order and performance reports for internal review and customer updates.
• Maintain proper filing of repair orders and related documentation for audit and traceability purposes.
Billing & Warranty Handling
• Verify warranty coverage and prepare quotations for non-warranty repairs.
• Ensure correct billing and posting of service charges or replacement parts.
Quality & Continuous Improvement
• Highlight recurring issues or parts failure trends to the product or quality team.
• Support process improvements to enhance turnaround time and accuracy.
• Adhere to company policies, data accuracy, and compliance requirements.
Admin & Operational Management
• Handling & maintaining all access rights for entry and exit points, warehouse & service center doors to ensure compliance to audit protocols.
• Fail & keep all records up to date ie generation of weekly reports, clearing of incoming & outgoing employee records, etc.
HR related matters (Confidential)
• Assist HRBP SEA in maintaining all hardcopy of employee records for SEA and ensure all stamped for MY.
• Support other ad hoc HR operational tasks as required.(e.g., payroll data coordination, onboarding document follow-up, system data maintenance)

To be successful in this role, YOU will bring:
• Bachelor’s degree in Business Administration, Supply Chain, or related field.
• 2–5 years of experience in order processing, repair coordination, service operations or admin.
• Familiar with ERP/CRM systems (SAP, Salesforce, or similar).
• Strong communication skills in English and Bahasa (other languages an advantage).
• Detail-oriented, organized, and able to handle multiple priorities.
• Basic technical understanding of payment terminal products & HR is an advantage.
• Excellent communication skills both written and verbal.
