Project Manager, GZERO Summit (Tokyo)
Eurasia Group is looking for a full-time project manager for our annual conference, the GZERO Summit. The position will be based in Tokyo, and you will be working with the Head of Global Strategic Initiatives and Eurasia Group’s Japan Team.
The GZERO Summit tackles the critical challenges created by a leaderless GZERO world, and political, business and media leaders come together to share the best ideas and unique insights on the geopolitical, economic and technological risks and opportunities that the world faces today.
As project manager, you will be responsible for overseeing the Summit down to the smallest detail, from organizing the venue and coordinating with various vendors, to deciding menu items and name tags. You will be working with a highly professional, hard-working team with a diverse range of experiences as well as responsibilities within the firm.
Job core responsibilities:
- Coordination and negotiation with event planners, venue providers, and other vendors
- Liaising with sponsors, partners and speakers
- Working with Communications Director on media relations
- Tracking budget
- Management of invitations and registrations process
- Guiding creative elements, such as venue design
- Overseeing logistics, including travel arrangements
- Approving all Summit-related advance and day-of materials
- Acting as the “control tower” on the day of the Summit
Necessary Qualifications & Experience:
- Fluent in Japanese, with high proficiency in business Japanese (keigo) – native level preferred
- Business-level English – native level preferred
- Bachelor’s degree in International Relations or related field is a plus
- Experience in planning large events – preferably for international events or for global businesses
- Highly organized but flexible thinker to plan for contingencies
- Excellent time management, attention to detail and communication skills
- Proficient with basic Microsoft Office applications, including Excel
- Must be comfortable leading a team with a diverse range of experiences and giving clear instructions on delegation of tasks
