Salary Grade C1, Hourly pay rate $17.39 (26-27 school year)

Position: Health Services Secretary
Reports to: Health Services Department Chair
Job Status: 10 months, 1.0 FTE, 8 hours per day (7.5 paid hours with � hour unpaid lunch break)

Summary of the Position:
This position is the secretary to the Health Services Chairperson. Responsibilities include providing administrative and secretarial support.

Qualifications:

  • High School Diploma or Equivalent
  • Minimum of two (2) years of prior clerical experience preferred
  • Exemplary organizational, interpersonal, clerical and communication skills
  • Ability to understand, apply, and use computers and software applications
  • Ability to maintain confidentiality of information regarding students, employees and others
  • Experience interacting with staff and the ability to be courteous and patient while maintaining a positive, cooperative work environment.

Essential Job Functions
Provide Administrative Support 

  • Answer phone calls
  • Generate district communications to health services division and administration personnel as needed for Chairperson and nurses
  • Serves as liaison for health services to district administration, staff, community agencies and vendors
  • Provide for optimal communications systems within the health services division
  • Maintain data collection systems and distribute reports as needed for health services or state reporting
  • Maintain electronic Health Services procedures book
  • Coordinate monthly nurses' meetings, record minutes and distribute and maintain electronic record of division agendas and minutes.
  • Coordinate special events for health services

Coordinate Personnel Schedule, Training, and Evaluation

  • Maintain health services personnel paperwork and records
  • Assist with the hiring and training of staff on procedures and computer programs
  • Assist Chairperson with scheduling of staff
  • Generate and maintain health services schedules

Manage the Health Services Departmental Budget

  • Maintain budget data and records for Health Services
  • Assist the Chairperson with the department budget as needed
  • Coordinate supplies and services for school health offices with health service staff as directed by the Chairperson
  • Initiate purchase orders
  • Order health supplies and materials for each school
  • Approve payment of invoices 

Maintain Electronic Health Records Database (SNAP)

  • Serve as liaison for the electronic database provider and health services contract, services, and new information updates
  • Promote and update district database as necessary
  • Provide training to staff
  • Provide ongoing communication and systematic protocols on electronic database to health services staff
  • Act as staff resource person for systematic problems and concerns that arise
  • Respond to staff questions and concerns regarding the database
  • Assist in entering immunizations, screenings, medical alerts
  • Assist in running required reports and letters
  • Compile state reports

Assist with Health Services related programs

  • Coordinate CPR/AED/First Aid for District 200 Staff
  • Provide administrative support and reporting for Home/Hospital Instruction 

Physical Ability:
Work in standard office and school building environments. The usual customary methods of performing the job's functions require the following physical demands including sitting, walking and standing and some lifting up to 20 lbs.

Work Environment:
Use standard office equipment such as computers, copiers, telephones etc. Potential exposure to communicable diseases. Noise level may be loud at times.
