Job Description

As an Executive Assistant to our General Manager, Canada, you can expect to undertake a variety of administrative duties. The ideal candidate will be a professional, customer focused Executive Assistant who knows how to get things done efficiently and understands the importance of confidentiality. The candidate will have superior soft skills, as the position requires mature and professional levels of confidentiality, judgment, tact, discretion and initiative as well as strong general administrative abilities. They will be able to work autonomously and efficiently to ensure the smooth running of day to day.

Day to day

  • Provide administrative support to the General Manager and DLL Canada senior leadership team, including travel and hotel arrangements including maintaining travel cost records and performing reconciliations, manage and maintain the complex calendars and schedules of the GM and other executive members to resolve conflicting priorities and arrange changes as required, that may include coordination, verification, and scheduling of meetings
  • Event planning duties, including supplier management (media and equipment needs, activities, location setup and catering), for in in-office or virtual meetings, townhalls or offsite events; may include booking meeting spaces, agenda development, technology setup, amalgamating, proofreading PowerPoint decks, event day troubleshooting and ordering catering with dietary restrictions
  • Collaborate with other global Executive Assistants/Administrative Assistants, including coordinating with the local Facilities team, ensuring international DLL visitors, guests and partners experience a warm, sincere and seamless visit.
  • Effective scheduling and facilitation of meetings, including preparing agendas, taking minutes, tracking action items, and proactively following up on action items and outstanding issues
  • Proofread, format, and edit professional correspondence, proposals, presentations, and reports
  • General administrative responsibilities include purchase order and invoice processing, expense report review and settlement for broader senior leadership team; data entry, answering and tracking miscellaneous inquiries to completion, and escalating sensitive items
  • Maintain documents and files on SharePoint sites
  • Draft and disseminate management communications
  • Support the GM and senior leadership team with coordination and daily tasks
  • Alert and advise of conflicting priorities and recommend alternatives
  • Technologically savvy and proficient with the use of smartphones, tablets, laptops and other tools
  • Other duties as assigned

Essentials:

  • High school diploma required; Bachelor’s degree preferred
  • 5+ years of experience in a related position
  • Professional, flexible individual with a pleasant, enthusiastic, customer focused attitude
  • Experience navigating executive and leadership levels within a diverse, global organization
  • Have an affinity for and inquisitive mindset towards new and existing IT applications, with advanced skills of all MS Office Products including PowerPoint, Word and Excel
  • Outstanding communication and interpersonal skills
  • Ability to handle data and information with the highest levels of confidentiality
  • Well organized with a skill in time management
  • Capable of operating independently with minimal direction while keeping the GM and broader leadership team informed of "variances to plan", potential problems and/or sensitive issues
  • Proven ability to work effectively under pressure in a fast-paced environment
  • Exceptional problem-solving skills
  • Strong decision-making abilities
  • Sharp attention to detail and the ability to zoom in, out and across the organization
  • Ability to stay focused and ability to manage multiple deadlines at the same time, and remain calm under pressure
  • Ability to learn new things quickly

Applicable pay range:

$67,875.00 - $101,813.00

Additional factors that may be used to determine your actual pay include your specific skills, years of relevant experience you possess, and other work-related qualifications. Many candidates may start in the bottom half of the applicable pay range, especially those with less experience or qualification. 

This position is subject to the terms of DLL’s compensation plans and policies. Further, the position includes all other benefits provided to DLL employees, including healthcare benefits, vacation, sick leave, parental leave, possible discretionary bonuses, and all other benefits that are subject to eligibility.
