POSITION SUMMARY:
The Executive Assistant provides high-impact, executive-level administrative support to the CEO and members of the Executive Leadership Team, enabling seamless coordination of priorities, communications, and operations across the Midtown Atlanta office. This role ensures the smooth flow of information, proactive calendar and schedule management, and efficient execution of key business activities.
Core responsibilities include managing complex and dynamic calendars, coordinating domestic and international travel, processing expense and T&E reporting, and orchestrating high-level meetings such as Board of Directors meetings, operational reviews, customer engagements, and Executive Leadership Team sessions.
Serving as the primary point of contact for the FORTNA Board of Directors and their administrative teams, the Executive Assistant operates with a high degree of professionalism, discretion, and judgment. The role also plays a key part in enabling executive effectiveness through planning and execution of large-scale meetings, leadership events, and select office initiatives.
In addition, the Executive Assistant partners closely with the Office Manager to oversee day-to-day office operations, including vendor management, office supply strategy and procurement, incoming mail flow, and ensuring a consistently polished, professional, and client-ready office environment. The role also supports a range of evolving administrative and operational priorities as needed.
PRIMARY RESPONSIBILITIES INCLUDE
- Manage all executive administrative support for the CEO, including complex calendar orchestration, travel planning, itinerary management, expense reporting, and Board of Directors communication and coordination.
- Provide comprehensive support to the CEO and Executive Leadership Team, including managing correspondence, coordinating travel, processing expense reports, triaging mail and phone communications, and supporting leadership meeting cadences and operating rhythms.
- Serve as the primary liaison for the CEO, ensuring seamless communication and alignment across internal teams and external stakeholders while maintaining accuracy, responsiveness, and confidentiality.
- Lead the planning and execution of executive-level meetings and events, including agenda development, logistics coordination, background research, presentation support, and end-to-end meeting execution.
- Manage calendars, meetings, and travel for Executive Leadership Team members based in the Midtown Atlanta office, ensuring prioritization of critical business needs and efficient scheduling across functions.
- Partner with and provide day-to-day direction to the Office Manager to ensure smooth and consistent execution of office operations, including front desk experience, guest and customer reception, call and mail management, office supply planning and procurement, conference room readiness, facilities coordination, vendor management, coffee service, and shipping operations, while maintaining a high-performing, professional office environment aligned with company standards. Ensure compliance with office policies, security protocols, signage, and workplace standards.
- Coordinate the planning, procurement, and delivery of corporate gifts and recognition items, including flowers and other acknowledgements for employees, customers, business partners, and key stakeholders.
REQUIRED QUALIFICATIONS
- Associate degree in Business or a related field
- Minimum of 10 years of experience in an executive administrative support role
- Prior experience supporting senior executives and leading administrative or office support staff
- Experience interacting with and coordinating Board of Directors and their administrative teams
- Strong attention to detail with a consistent focus on quality and accuracy
- Strong customer service mindset with a professional, solutions-oriented approach
- Excellent verbal and written communication skills with the ability to remain composed under pressure
- Strong time management, prioritization, and organizational capabilities in a fast-paced environment
- Proficiency in Microsoft Office applications including Word, PowerPoint, Outlook, and Excel
- Strong interpersonal skills with demonstrated problem-solving, continuous improvement, and project coordination abilities
- Self-starter with strong discretion and the ability to handle confidential information appropriately
- Team-oriented mindset with a proactive, “can-do” approach and willingness to support broader team success
- Ability to travel domestically as required
- Ability to perform all essential job functions

WORKING CONDITIONS: When duties are performed in a typical office environment, extended periods of sitting at a desk and viewing a computer screen will be required. Also required is the ability to talk and hear, in person and by telephone; use of hands to handle, feel, or operate standard office equipment; and ability to reach with hands and arms. The base salary range for this role is $66,100 to $99,200. This base salary range represents the low and high end of the base salary range for this position. Actual base salary offered will vary based on various factors including but not limited to location, level, job-related knowledge, skills, experience, and performance.
