Role Overview
The TAS Operational Excellence Analyst is a critical role within the Talent Acquisition Services Team, responsible for ensuring the quality, timeliness, and continuous improvement of TAS processes. The role is designed around proactive monitoring, data-driven insights, and cross-functional collaboration to uphold service standards and support the overall performance of TAS coordinators and teams.
This role serves as the operational performance compliance analyst for TAS — identifying risks before they escalate, owning reporting and performance visibility, and stepping in as a flexible resource when demand spikes across different TAS teams.
Key Responsibilities
1. Preventive Audits & Active Process Monitoring
Serve as the primary control point for TAS process compliance and SLA adherence through proactive, real-time monitoring:
- Conduct regular preventive audits on TAS activities and workflows to verify alignment and compliance to established Service Level Agreements (SLAs).
- Actively monitor open tasks, pending items, and workflow queues to identify items that have been left unattended or are at risk of missing SLA thresholds.
- Flag at-risk tasks before they develop into escalations.
- Maintain an audit log of findings, patterns, and recurring gaps to support root cause analysis and process improvements.
- Partner with Team Leads to close identified gaps in a timely manner and ensure coordinators are taking appropriate follow-through actions.
- Continuously refine audit checklists and monitoring frameworks to reflect process updates and evolving SLA requirements.
2. Reporting & Data Insights
Own and manage all reporting functions relevant to TAS operations:
- Develop, maintain, and distribute regular performance and operational update reports for TAS stakeholders.
- Translate raw operational data into meaningful insights that can inform decision-making, process improvements, and strategic planning.
- Identify trends, patterns, and anomalies in TAS data and present findings in a clear, actionable format.
- Maintain data accuracy and integrity across all reporting outputs.
- Proactively recommend improvements to reporting cadence, format, or content based on stakeholder needs.
3. TAS Scorecard Management
Own the data management process for the TAS Coordinator Scorecard:
- Gather all required data and metrics needed to populate the TAS Coordinator Scorecards on a regular cycle.
- Accurately complete and maintain scorecards in line with defined performance criteria and evaluation standards.
- Collaborate with Team Leads to review scorecard entries for accuracy and completeness prior to finalization and release.
- Manage the release timeline and ensure scorecards are distributed to the appropriate parties in a timely manner.
- Maintain a version-controlled archive of completed scorecards for reference and trend analysis.
4. Backup Resource for TAS Teams
Serve as a flexible resource to maintain service continuity during periods of elevated work volume:
- Act as a backup support resource for any TAS team experiencing a spike in work volume or capacity constraints.
- Maintain a working understanding of the core responsibilities across TAS teams to enable effective support.
- Coordinate with Team Leads to prioritize tasks and deploy backup support efficiently.
5. Project Oversight & Initiative Support
Provide operational oversight and coordination for projects within TAS:
- Track the status and progress of ongoing TAS projects and initiatives, ensuring milestones and deadlines are met.
- Maintain project documentation and communicate updates to relevant stakeholders.
- Identify potential risks or blockers to project timelines and escalate appropriately.
- Support the implementation of process improvement initiatives led by the Optimization Lead.
Qualifications & Requirements
Required Skills & Competencies
- Knowledge of Talent Acquisition Services Processes
- Strong analytical mindset with the ability to translate data into clear, actionable insights.
- Proactive and self-driven — able to identify issues without being directed and act with urgency.
- Proficient in Microsoft Excel — including pivot tables, formulas, data validation, and dashboard creation.
- Detail-oriented with a high degree of accuracy in data handling and reporting.
- Excellent organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
- Strong communication and collaboration skills, particularly in working with Team Leads and cross-functional stakeholders.
- Comfortable working with structured processes and SLA-driven environments.
Preferred Qualifications
- Knowledgeable in navigating Workday reports (extraction and processing).
- Experience in process auditing, quality assurance, or operational monitoring roles.
- Experience in translating data into visual presentations for stakeholders
What Success Looks Like
In this role, success is defined by the ability to keep TAS operations running smoothly and proactively — catching issues before they become problems, keeping performance data accurate and timely, and enabling the broader TAS team with the insights they need to continuously improve.
