About the Role
The License Desk Expert supports the organisation’s software licensing, entitlement, and compliance activities. The role acts as the central point of contact for software licence requests, allocation, renewals, entitlement validation, vendor documentation, and compliance evidence. The role ensures software is used in line with contractual terms, internal policies, and audit requirements.
It is important for maintaining accurate licence records, preventing non-compliant usage, supporting cost optimisation, and enabling informed decisions on renewals, subscriptions, and vendor agreements.
What You Will Do
Licence Request & Fulfilment
Manage and process software licence requests from IT teams, business users, and application owners
Validate business justification and ensure appropriate approvals are in place
Allocate available licences according to internal processes and entitlements
Maintain visibility of licence availability, allocation, and consumption
Software Entitlement & Inventory Management
Maintain accurate records of software licences, subscriptions, contracts, and entitlements
Track licence keys, purchase records, maintenance agreements, and renewal dates
Reconcile software deployments against purchased entitlements and usage data
Ensure licence documentation is complete, accurate, and audit-ready
Compliance & Audit Support
Support internal and external software licence audits and compliance reviews
Gather evidence and prepare licence position reports
Identify compliance gaps and support remediation activities
Ensure software usage aligns with contractual and licensing requirements
Renewals & Vendor Support
Support software renewal planning with entitlement and usage data
Provide procurement teams with licence and contract information
Assist in vendor communications related to licensing, renewals, and quotes
Help validate renewal requirements and identify optimisation opportunities
Licence Optimisation & Cost Control
Identify unused, underused, or duplicate licences
Support licence re-harvesting and reallocation initiatives
Recommend optimisation opportunities to reduce software costs
Contribute to standardisation and rationalisation of software usage
Reporting & Process Improvement
Produce reports on licence usage, compliance status, and renewals
Maintain licensing procedures, documentation, and knowledge articles
Support continuous improvement of licence desk processes and workflows
Provide insights to improve licence governance and reporting quality
What You Will Need
5+ years of experience in Software Asset Management (SAM), IT Asset Management (ITAM), IT procurement, IT service management, or vendor management
Experience in software license administration, compliance, entitlement management, or audit support is highly desirable
Strong understanding of software licensing models, including:
User-based, device-based, subscription, SaaS
Core-based, processor-based, concurrent, and consumption-based licensing
Solid knowledge of IT Asset Management (ITAM) and Software Asset Management (SAM) principles
Ability to interpret software contracts, licence agreements, entitlement records, and vendor documentation accurately
Strong analytical skills with excellent attention to detail
Ability to communicate complex licensing concepts in a clear and simple way to both technical and non-technical stakeholders
Experience with ITSM tools such as ServiceNow, Jira Service Management, or BMC Remedy
Exposure to SAM/ITAM tools such as Flexera, Snow, ServiceNow SAM Pro, or USU is an advantage
Familiarity with discovery tools such as SCCM/MECM, Intune, Tanium, or BigFix is beneficial
Experience with reporting tools such as Excel, Power BI, or Tableau
Knowledge of procurement or ERP systems such as SAP, Ariba, Coupa, or Oracle is an advantage
Bachelor’s degree in IT, Business, Procurement, Finance, or a related field is preferred (or equivalent practical experience)
Relevant certifications are an advantage, such as:
ITIL Foundation
IAITAM certifications (CSAM / CHAMP)
Vendor certifications (Microsoft, Oracle, SAP, IBM, VMware/Broadcom, Adobe)
ServiceNow SAM/ITAM certification
Highly organized, structured, and detail-oriented approach to work
Strong problem-solving and analytical thinking skills
Proactive mindset in identifying risks and optimization opportunities
Strong stakeholder management and communication skills
Ability to work effectively with both technical and non-technical teams
