Job Summary
1. Travel & Expense Processing and Review
- Review employee travel and expense claims (e.g., via Concur or other T&E systems) to ensure compliance with company policies
- Validate invoices, receipts, and supporting documentation for completeness and accuracy
- Identify and resolve non-compliant or exceptional claims in a timely manner
- Ensure timely and accurate posting of expenses into the financial system
2. Policy Compliance and Risk Control
- Enforce and support continuous improvement of the company’s travel policy
- Monitor compliance and identify potential risks such as duplicate claims or policy violations
- Support internal and external audits by providing required documentation and explanations
- Ensure adherence to local tax and regulatory requirements (e.g., VAT compliance)
3. System and Process Management
- Maintain and optimize T&E systems (e.g., Concur), including workflows and configurations
- Support user access setup, training, and ongoing system queries
- Drive process improvements (CI/BPI initiatives) to enhance efficiency and strengthen internal controls (e.g., SOD compliance)
- Collaborate with IT, HR, and external vendors to improve system functionality
4. Reporting and Data Analysis
- Prepare periodic T&E reports (by country, department, expense category, etc.)
- Analyze spending trends, identify cost-saving opportunities, and highlight anomalies
- Provide insights and reporting support to management for decision-making
- Support budgeting and variance analysis (Actual vs Budget)
5. Stakeholder Collaboration
- Work closely with AP, HR, Tax, Treasury, and business stakeholders
- Act as the key point of contact for T&E-related inquiries
- Coordinate with corporate card providers (e.g., AMEX, Citi) on reconciliations and issue resolution
Qualifications & Skills
- Bachelor’s degree in Finance, Accounting, or related field
- Minimum 1 years of experience in Accounts Payable, T&E, or related finance roles
- Experience in shared service environments (GBS) or multinational companies preferred
- Hands-on experience with Concur or similar expense management systems preferred
- Strong communication skills in English (additional languages are a plus)
- Detail-oriented with a high risk and compliance mindset
