Description of the role and purpose of the job: Description of the role and purpose of the job: To oversee the overall maintenance and technical management for the office building including safety and risk compliance; equipment maintenance and performance; utilities and energy management; budget development; and contractor/service provider management. The successful individual will have to deliver a process, project or service involving the completion of a series of defined tasks where accuracy, and timeliness are critical. The individual may be on frequent occasions be required to physically be at the work premises outside work hours and or respond to urgent matters during weekends.

Key responsibilities: Key accountabilities
Administration: 1. Manage contractors and service providers (SLA) 2. Processing on Oracle system for the raising requisitions and receipting of purchase orders 3. Prepare and collate all invoices for the monthly processing 4. Order and maintain stock in relation to the facilities management services 5. Preparing monthly reports to National Facilities Manager and reviewing contractor reporting 6. Ensure contractor documentation is o=in good order and compliant to all applicable legislations 7. Conduct weekly quality, monthly contractual meetings with contractors and service providers
Health and Safety: 1. Take reasonable care for the health & safety of yourself and of other persons in the work premises 2. Ensure self and service provider compliance to the Firm’s Health, Safety, Environmental and Quality Policies and to comply fully at all times with the Company’s health & safety, welfare, fire arrangements, in line with OHSAS:18001, ISO:14001, and ISO:9001 requirements. 3. Fully prepare and participate in the annual ISO Internal and external audits 4. Report immediately all accidents involving injuries and illness verbally to your immediate superior and a First Aider. 5. To annually maintain for yourself a valid SHE Rep, Fire Fighter and First aider training certificate Technical: 1. Technical Lead for engineering maintenance management and associated utilities to support SA operational sites and ensure appropriate maintenance standards are formulated and rolled out. 2. Maximize equipment reliability and reduce maintenance costs. 3. Develop, review, and improve documentation such as Standard Operating Procedures, Work Instructions, etc. Ensure that the QA and QC policies / inspection techniques are implemented for all equipment repair types 4. Monitoring and reporting on building performance of core infrastructure (heating, ventilation, air-conditioning, extraction, back-up power, Security systems, Lifts, fire prevention and detection, electrical, Mechanical, solar panels, Generators, UPS, Fire Systems and sprinkler systems and Plumbing 5. Ensure response to all technical building related functions to ensure timely and effective resolution 6. Ensuring that sound building engineering practice and latest technology is applied by consultants and technical managers and staff 7. Assist Facilities Manger to Develop OPEX and CAPEX budgets and life cycle cost management Manage the usage and maintenance of equipment’s throughout their lifecycle. 8. Create proposed budgets and business cases motivation for security upgrades, equipment replacement and value add opportunities such as improved efficiency or modernisation, etc. 9. Developing business cases for maintenance, upgrades, and replacements as well as for technical team of plumbers, electricians, air-conditioning etc. which includes full multi-year plans and schedules Operations: 1. Work in conjunction with team members to ensure that the system provides a computerized maintenance management system, spare parts inventory, planning and scheduling 2. Adhere to all regulatory requirements and participates in audits to enhance maintenance efficiencies. Monitors and follows up to ensure timely completion of all commitments 3. Skills and attributes required for the role: · Ability to work under pressure and manage multiple deadlines · Ability to work and respond to urgent matters during and outside of working hours · Attention to detail · Knowledge of modern office and building practices, procedures, and equipment. · Advanced Computer skills and experience with word processing, databases, and spreadsheets. · Ability to read, analyse and interpret technical drawings reports and regulations. · Ability to define, research, and solve problems. · Ability to physically inspect, repair and configure building equipment. · Strong written communication skills including knowledge of correct English usage (grammar, · spelling, punctuation, and vocabulary), and the ability to prepare complete, clear, accurate, and concise reports and correspondence. · Ability to organize work, set priorities, meet critical deadlines, and complete assignments with a minimum of direction. · Ability to maintain effective working relationships and communications with the internal and external stakeholders, contractors, department directors, and other legislative agencies. · Ability to exercise discretion in dissemination of confidential or sensitive information, and skill in information control procedures and techniques | |
Minimum requirements to apply for the role (including qualifications and experience): 1. Minimum 5 years technical experience in building management, facilities management and/or engineering 2. Driving Licence 3. MS Office proficient 4. Knowledge and Experience with Oracle 5. Technical experience with maintenance for general building, UPS, Generators, lifts, CCTV, bio-metric access system, air-conditioning, parking access control, fire detection and safety, plumbing and sanitation, water purification, water supply (both hot and cold water), pumps and water reticulation system, pest control, electrical, windows, lights, solar panels, fire equipment and sprinkler systems 6. Proficient in health and safety, ISO and SHEQ regulations Requirements 7. Knowledge of SANS 10400 Building regulations 8. Health and Safety Training 9. National Diploma in Built environment and/or Engineering disciplines (Electrical engineering, Civil engineering, Mechanical engineering) – highly advantageous 10. Commercial acumen |
