Job Description
Responsibilities
- Establish and implement a proper, orderly, and comprehensive filing system for all correspondence and documents. That includes numbering, sorting, filing, storing, and retrieving the documents.
- To receive all incoming and outgoing documents related to the project, provide sequential tracking numbers, registering into EDMS system, handling, and storage of all incoming and outgoing documents in accordance with the Project Quality Plan (PQP) procedures.
- Communicate with Consultants, Contractors, JKRS and Stakeholders in tracking the deliverables and arrange discussion as necessary
- Maintain and update details of document in the “Share Folder”
- Coordinate all correspondences which require urgent attention especially in the absence of the immediate superior.
- To follow up with Project Team for any unsubmitted hardcopy of outgoing documents.
- Carry out general administrative duties.
- To assist Document Controller at site level to manage EDMS – reporting on issues to HQ.
- To assist project team on any administrative matter.
Requirements
- Minimum 3 years of relevant working experience.
- Minimum Diploma in Public Administration or a related field.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
- Experience in project document control and Electronic Document Management System (EDMS) will be an added advantage.
- Able to work independently with minimal supervision and guidance.
- Willing to be based at project site office.
Remarks: Contract position for 2 years, renewable subject to performance and project requirements.
