About the Role
We are looking for a Project Lead & Executive Admin. to join our global Employee Experience team. This role reports to the Employee Experience Lead and plays a key part in supporting senior technology leaders through project coordination, executive administration, communications, and operational support across LNRT & IP.
This position sits within the Employee Experience team and provides dedicated support to technology leadership, helping ensure alignment with leadership priorities and the smooth execution of strategic projects, recurring meetings, executive-led initiatives, communications, and engagement forums. The role blends project leadership, executive administrative support, communication excellence, technology fluency, and operational coordination to help drive a cohesive and effective leadership operating rhythm.
Accountabilities:
Technology Leadership Communications & Engagement
- Coordinate and support recurring leadership communications, including weekly recap posts, quarterly Town Halls, and organization-wide updates for the CTO organization.
- Partner with senior technology leaders to gather agenda topics, key updates, recognition inputs, milestones, and important reminders for broad leadership and employee visibility.
- Prepare, review, and prepare presentations, reports, meeting materials, and communications to ensure clarity, consistency, and alignment with leadership priorities.
- Synthesize inputs from leaders and stakeholders into concise, well-organized communications suitable for executive and organizational audiences.
- Manage employee question collection, presenter coordination, and meeting preparation for major technology-focused forums and engagement events.
- Support communication and visibility for AI-related efforts, partnering with AI initiative contributors to promote awareness and alignment.
Project & Operational Coordination
- Support the coordination and tracking of cross-functional administrative, operational, and technology-focused projects, helping monitor timelines, milestones, deliverables, risks, and dependencies.
- Assist in organizing and managing activities related to executive-led initiatives, ensuring stakeholders are informed and work progresses smoothly.
- Own agenda coordination and readiness for weekly leadership meetings, including shared agenda management, priority tracking, action items, and follow-up on discussion topics.
- Maintain shared tools, trackers, templates, documentation, summaries, and status updates to support visibility and alignment across teams.
- Contribute to process improvement efforts by identifying opportunities to streamline workflows, improve operating rhythms, and enhance administrative efficiency.
- Support alignment with Employee Experience-led events, including hackathons and other technology engagement initiatives, by coordinating with the appropriate technology point of contact.
Executive Administrative Support
- Provide proactive executive administrative support to the Chief Technology Officer, including daily calendar management, scheduling, meeting preparation, and follow-up.
- Manage evolving executive calendars with strong attention to timing, priorities, global time zones, meeting conflicts, and optimal scheduling across internal and external stakeholders.
- Anticipate business needs on both routine and project-based matters, helping executives stay ahead of upcoming deadlines, requests, meetings, events, and deliverables.
- Coordinate domestic and international travel logistics, including trip planning, travel arrangements, visas, hotels, transportation, meeting agendas, necessary contacts, reservations, directions, and time zone adjustments.
- Resolve routine to complex inquiries proactively and independently, exercising maturity, discretion, sound judgment, and resourcefulness.
- Maintain records and process expense reports, invoices, payment requests, reimbursements, and related administrative documentation.
- Handle confidential information with professionalism, integrity, and discretion.
- Perform other duties as assigned.
Qualifications:
- Bachelor's Degree holder
- Experience: 3+ years in program and project management, executive administration, employee communications or technology-focused operations within a corporate or global organization.
- Executive Administrative Support: Proven ability to support senior leaders through calendar management, scheduling, meeting preparation, travel coordination, expenses, communications, and follow-up.
- Project Management: Ability to manage multiple concurrent projects, timelines, stakeholders, documentation, and deliverables from concept to completion.
- Communication Skills: Strong written and verbal communication abilities, including experience drafting executive communications, leadership updates, presentations, or engagement materials.
- Technology Fluency: Proficient in Microsoft Office Suite, Microsoft Teams, OneNote, and Microsoft Forms; experience with Concur or similar travel and expense systems is a plus.
- Strategic & Creative Thinking: Able to balance detail-oriented execution with strategic awareness and creative problem-solving.
- Interpersonal Effectiveness: Works collaboratively across functions and geographies, building trust with senior leaders and diverse teams.
- Adaptability: Thrives in a dynamic, matrixed environment with shifting priorities; able to pivot between strategic project coordination, administrative support, and tactical execution as needed.

- Ability to quickly learn and apply enterprise AI tools and technologies to support technical workflows and business objectives.
