Trust and Corporate Specialist

Job Location - Hong Kong

Shift - Monday - Friday, 9.00am - 6.00pm

Work mode – Hybrid

 

Trust and Corporate Specialist supports the day-to-day administration and ongoing management of trust and corporate structures for high-net-worth individuals and families. The role focuses on delivery excellence, regulatory compliance, and accurate execution of trust and corporate actions, while working closely with Trust Manager and internal stakeholders to ensure a high standard of client service.

 

Key Responsibilities

Trust & Corporate Administration

  • Assist in the day-to-day administration of discretionary family trusts, private trust companies (PTCs), employee benefit trusts (“EBTs”), purpose trusts and corporate vehicles, including underlying companies in various jurisdictions.
  • Prepare various trust and corporate documentation such as trustee resolutions, deeds, director/shareholder resolutions, agreements, and statutory records.
  • Support trust set-up, restructuring, distributions and/or loans to beneficiaries, asset transfers, and corporate transactions in accordance with governing documents and internal procedures.
  • Maintain accurate client records and transaction logs in CSC systems.

 

Regulatory & Compliance Support

  • Perform client onboarding and ongoing monitoring tasks, including CDD/KYC collection, risk assessments, and periodic reviews, in line with AMLO, TCSP, CRS/FATCA, and sanctions requirements.
  • Liaise with Compliance and Trust Manager to ensure timely resolution of due diligence or regulatory issues.
  • Assist in preparation of audit, regulatory, and internal review materials.

 

Client & Stakeholder Support

  • Act as a key operational contact for clients, intermediaries, banks, and professional advisers under supervision of the Trust Manager.
  • Coordinate with external service providers such as banks, investment managers, lawyers, and auditors.
  • Respond promptly and professionally to client and internal queries, ensuring service level standards are met.

 

Corporate Services & Governance

  • Support incorporation, maintenance, and dissolution of Hong Kong and offshore entities.
  • Manage annual compliance matters, including business registration renewals, annual financial returns, economic substance filings where applicable, and statutory deadlines.
  • Maintain corporate registers, minute books, and beneficial ownership records, etc.

 

Team & Process Support

  • Work collaboratively with the Trust Manager and other Specialists to ensure efficient workflow and task allocation.
  • Identify process improvements and contribute to operational best practices.
  • Support training and knowledge sharing within the team as experience grows.

 

Key Requirements

Professional Experience

  • 3 to 6 years’ experience in trust and corporate services field or professional services environment.
  • Exposure to private client trust structures and corporate administration in Hong Kong and offshore jurisdictions preferred.
  • Working knowledge of Hong Kong AML, TCSP licensing, and basic trust principles.

 

Qualifications

  • Bachelor’s degree in Business, Accounting, Law, or a related discipline.
  • Studying toward or holding professional qualifications such as STEP, HKCGI, or equivalent is advantageous.

     

 

Skills & Competencies

  • Strong organizational and administrative skills with excellent attention to details.
  • Ability to manage multiple tasks and deadlines in a regulated environment.
  • Clear written and verbal communication skills.
  • Proactive, client-service mindset with a willingness to learn technical trust and corporate matters.
  • Fluent in written and spoken English, Cantonese and Putonghua is an advantage.
