Job Description

Our Faculty Administrative Support team provides invaluable support to our dedicated faculty members. The team of committed and experienced professionals empower faculty to focus on their core areas of expertise by efficiently managing administrative tasks and creating a seamless operational environment.

We are currently accepting applications for a Coordinator , Faculty Support position in the Faculty Administration and Support Department. This is a temporary contract (maternity cover starting April 2026), full time, and based at our Asia (Singapore) campus at One-North.

 

About the Job 

As a key partner to a diverse group of Faculty members, you will provide essential programme and administrative support that enables outstanding teaching and impactful research. You will be at the heart of academic operations, anticipating needs, coordinating multiple moving parts, and ensuring that everything runs smoothly behind the scenes.

In this role, you will manage a varied and fast-paced workload aligned to the academic calendar. From preparing to supporting courses, and liaising with students and internal teams, you will handle a wide range of responsibilities that require agility, initiative, and strong organisational flair. You will also engage with external stakeholders and collaborate closely with your Area Manager on administrative matters, ensuring that deadlines are met and quality standards upheld.

Your Responsibilities will include (but are not limited to):

Teaching & Course Coordination

Play a crucial role in bringing our courses to life by orchestrating all aspects of teaching support. You will:

  • Prepare course materials and digital platforms, including website setup, copyright clearance, and Zoom arrangements.
  • Support classes in real time, setting up exercises, coordinating simulations, running online surveys, and tracking attendance.
  • Work seamlessly with speakers, tutors, teaching assistants, students, graders, and campus teams to keep learning experiences smooth and engaging.
  • Manage post-course deliverables such as exam grade processing, data reporting, and editing of video recordings.

Office Administration

Be the organisational backbone for multiple Faculty members by:

  • Calendar management
  • Providing comprehensive administrative support, including travel planning, expense processing, and document proofreading.
  • Maintaining personal Faculty websites and keeping biographies up to date.
  • Supporting new Faculty as they settle into campus life and academic routines.

Conference & Research Support

Help drive impactful research and events by:

  • Coordinating logistics for on- and off-campus conferences and academic events: covering travel, room arrangements, accommodation, group activities, catering, and budget submissions.
  • Formatting research documents such as cases, academic papers, articles, and manuscripts.
  • Preparing submissions and proofreading work according to journal guidelines.
  • Managing travel arrangements for Faculty, visiting scholars, and research assistants.

 

Requirements 

We are looking for a proactive, detail‑oriented professional who enjoys supporting others and thrives in a fast-paced academic and international environment. To be successful in this role, you should bring:

  • 3–5 years of experience in an administrative support / events / customer service role, ideally within higher education or a similarly structured environment.
  • A diploma or administrative qualification that demonstrates your foundation in organisational and office-management skills.
  • Excellent command of English, both written and spoken, with the ability to communicate clearly, professionally, and confidently.
  • Strong organisational skills and a keen eye for detail, able to manage competing priorities while maintaining accuracy and quality.
  • High flexibility and adaptability, with strong interpersonal skills to collaborate effectively with diverse Faculty, students, and stakeholders.
  • A strong sense of initiative, you anticipate needs, solve problems proactively, and are comfortable working both independently and as part of a team.
  • Proven ability to prioritise and meet deadlines, even under tight timelines or shifting demands.
  • A positive team spirit, with the confidence to work autonomously when required.
  • Excellent digital proficiency, including MS Office and other productivity tools; familiarity with learning platforms will be an advantage.
  • Comfortable working in an international, multicultural environment, engaging respectfully and professionally with people from varied backgrounds.
