Job Description

GENERAL DESCRIPTION

Performs complex administrative support or technical program assistance work. Work involves maintaining filing systems, and general administrative support work, assist in the administration of a human resources management program. Uses a PC to perform analysis, reconciliation, and reporting of accounting data. Works under close supervision with some latitude for the use of initiative and independent judgment.

 

 

EXAMPLES OF WORK PERFORMED

Job Vacancy/ Applicant Processing:

  • Assist hiring managers with agency hiring process.

  • Prepare and distribute agency job postings and update website.

  • Prepare, receive and process all job applications thru CAPPS Recruit and TWC Work in Texas.

  • Maintain Job Vacancy database.

  • Maintain job postings and applications in CAPPS Recruit and TWC Work in Texas.

  • Assist in administering and scoring employment tests.

  • Send out email notifying applicants of job closure.

Payroll & Leave Accounting:

  • Acts as back-up to the Payroll & Benefits Administrator.

  • Acts as back-up for Time and Leave Administrator for agency personnel.

  • Assist agency personnel with benefits selection and information.

Human Resources Administrative Duties:

  • Compile and prepare new employee packets and exit packets.

  • Assist with data entry and verification of personnel actions into the Centralized Accounting and Payroll/Personnel System (CAPPS).

  • Update and maintain personnel files, both Open & Confidential.

  • Assist with maintaining the HR database.

  • Assist with Parking Coordinator Duties and Electronic Access.

  • Assist with New Employee Orientation.

  • Assist with Workers Compensation and Insurance matters.

  • Administer agency Contingency Employees and Contractor programs.

  • Assists Agency Wellness Coordinator with agency wellness events.

  • Data entry and verification of all personnel actions.

  • Assist with general HR questions from employees.

  • Assist with Exit interviews.

  • Prepare Visitor Badges for the building.

Administrative Duties:

  • Answer incoming phone lines for the division; open, sort, and distribute division mail.

  • Prepare reports as directed by the Division Director.

  • Assist in the coordination of agency special events.

  • Contact for Issue Track for Admin. Services related help desk needs.

  • Maintain employee and administrative filing systems.

  • Act as back-up Rudder Building receptionist.

 

 

GENERAL QUALIFICATIONS

Required Qualifications:

  • Graduation from high school or completion of General Education Development program.

  • Two years of progressively responsible experience in administrative support work required.

  • Proficiency in the use of Word, Excel and Access.

  • Ability to evaluate applicant qualifications and communicate effectively.

  • Ability to communicate with the public and agency employees in a professional and courteous manner.

  • Ability to Maintain Confidential and Sensitive Information.

  • Regular and punctual work attendance.

 

Preferred Qualifications:

  • Graduation from a university with an emphasis in Human Resources and/or Management.

  • Two or more years of experience in training.

  • Two or more years of experience applying hiring practices.

  • Five or more years of progressively responsible administrative support experience.

  • Working knowledge of the Centralized Accounting and Payroll/Personnel System (CAPPS).

  • Knowledge of state agency leave accounting rules and regulations.

  • Two years of prior Human Resource work experience with a state agency or university.
