Senior Project Coordinator – IT Infrastructure
Rothe is seeking a Senior Project Coordinator to support NASA’s IT Infrastructure portfolio in support of the NASA Enterprise Multimedia and Integrated Technical Services (eMITS) contract. eMITS is the Agency’s enterprise-level contract creating and delivering multimedia and technical communications NASA’s OCIO and Office of Communications (OCOMM). From photographing rocket launches and recoveries, producing NASA TV segments, to information technology management, to using social media to share NASA’s message, eMITS integrates services for NASA IT and provides NASA’s communication to the outside world. Job Description:
The Senior Project Coordinator IT Infrastructure provides advanced project support across documentation management, scheduling, task coordination, communications, and reporting activities for IT and infrastructure initiatives. This role supports alignment across OCIO organizations and mission stakeholders by organizing project information, facilitating effective communication flows, and helping ensure that deliverables and updates are completed accurately and on schedule. The Senior Project Coordinator plays a key role in maintaining project continuity and supporting successful execution across multiple project teams.
Functional Responsibilities:
Project Management and Lifecycle Support
- Maintain project documentation including schedules, action logs, decision logs, meeting materials, and version-controlled files.
- Coordinate and prepare materials for project meetings, including agendas, notes, presentations, and follow up task lists.
- Track project assignments, task progress, and administrative updates across teams.
- Support organization and maintenance of project repositories, shared folders, and configuration controlled documentation libraries.
- Assist in compiling status inputs for reporting cycles, helping ensure accuracy and completeness.
- Coordinate logistics for project activities, including meeting arrangements, stakeholder briefings, and working sessions.
Integration and Stakeholder Coordination
- Serve as a central coordination point across OCIO teams, mission organizations, and technical groups by gathering updates and facilitating communication flow.
- Support preparation and distribution of communication materials, status updates, and project documentation.
- Help identify potential issues affecting schedule or task coordination and bring them to the attention of project leads.
- Ensure documentation and communication practices align with NASA expectations and project-specific guidance such as NPR 7120.x or relevant NIST and OMB policies, as directed by project management staff.
- Maintain accurate contact lists, team distributions, and communication channels to support stakeholder engagement.
Continual Service Improvement
- Recommend improvements to project documentation processes, meeting workflows, and communication practices.
- Assist in updating templates, tools, or coordination processes to enhance efficiency and consistency across the team.
- Participate in discussions about project process improvements and help gather data or feedback to support refinement efforts.
Deliverable Tracking and Documentation
- Track project deliverables, due dates, and documentation requirements to ensure timely submission and proper organization.
- Maintain clear, accessible records of deliverables, milestones, approvals, and associated references.
- Support traceability by ensuring deliverables are accurately recorded, stored in the correct repository locations, and linked to project requirements.
Remote, hybrid, and onsite positions the employee bears travel costs to nearest NASA Center for badging and issue of NASA IT equipment.
Education and Experience:
- Minimum Education: BA/BS
- Minimum Experience: 3–5 years of project coordination or administrative support experience in IT, technical, government, or infrastructure environments.
Minimum Qualifications:
- Strong organizational and time‑management skills with the ability to track multiple tasks and deadlines.
- Experience maintaining project documentation, action logs, meeting records, and document repositories.
- Effective written and verbal communication skills supporting interactions with diverse technical and non‑technical stakeholders.
- Proficiency with collaboration and project tools such as SharePoint, Teams, Excel, and document management systems.
- Ability to track deliverables, coordinate updates, and ensure documentation accuracy.
- General familiarity with IT concepts or willingness to learn technical context as needed.
- Attention to detail and the ability to produce clear, accurate work products.
Preferred Qualifications:
- Previous experience supporting NASA or federal government programs.
- Awareness of governance frameworks such as NPR 7120.x, NIST standards, and OMB memorandums.
- Experience supporting Agile teams or participating in Agile processes.
- Training or coursework in project management, business administration, or IT.
- Experience preparing or supporting briefing materials for leadership or technical reviews.
