Role Overview

The Executive Assistant provides high-quality administrative, coordination, and operational support to Group Country Manager (GCM) CISSEE, enabling effectiveness, prioritization, and efficient daily calendar management. This role requires sound judgment, proactive thinking, and the ability to operate in a fast-paced environment while managing multiple priorities and stakeholders.

Key Responsibilities

Strategic Calendar & Priority Management

  • Manage and optimize the GCM’s daily, weekly, and monthly calendar in alignment with business priorities
  • Proactively handle complex scheduling, resolving meeting conflicts and ensuring focus on high-value activities
  • Maintain a forward-looking view of commitments, anticipating changes and adjusting plans accordingly
  • Identify opportunities to improve time allocation and overall efficiency
  • Coordinate scheduling with key internal and external stakeholders to ensure effective engagement

Business & Operational Support

  • Act as a key point of contact, building strong relationships with internal and external stakeholders
  • Coordinate business-as-usual activities, ensuring smooth execution and alignment across teams
  • Partner with cross-functional teams to manage operational requirements and proactively resolve issues
  • Support general office operations, including GCM workspace coordination and day-to-day administrative needs
  • Manage complex travel arrangements (flights, accommodation, ground transport) and prepare detailed itineraries
  • Oversee expense reporting and claims in line with company T&E policies
  • Ensure timely and effective distribution of communications issued on behalf of the GCM.

Analysis & Administrative Support

  • Screen and prioritize incoming correspondence, ensuring urgent matters are addressed promptly
  • Support preparation of presentations, reports, and updates, structuring information clearly and effectively
  • Compile and organize meeting materials to ensure the GCM is fully prepared for all engagements
  • Provide high-quality administrative support, including preparing professional documents, reports, and presentations
  • Coordinate Direct Report meetings (calendars, logistics, workspace, IT setup)
  • Analyze information such as meeting cadence, stakeholder engagement, and workflows to identify improvement opportunities
  • Highlight key insights and potential risks through effective prioritization of information
  • Leverage digital and AI-enabled tools to streamline workflows and improve quality and efficiency
  • Handle confidential and sensitive matters with the highest level of discretion and professionalism

Stakeholder Coordination & Procurement

  • Collaborate with cross-functional teams across Visa to support execution of business activities
  • Organize and facilitate internal and client meetings, ensuring effective information flow and alignment
  • Manage procurement processes, including raising purchase requisitions and orders, and tracking invoice processing

Projects & Special Assignments

  • Support ad hoc projects, research, and presentation development as required by management

Qualifications

What you will need:

  • Proven experience supporting senior executives in a complex, multinational environment
  • Strong organizational and time management skills, with the ability to manage competing priorities
  • Excellent communication and stakeholder management capabilities across all levels
  • High level of professionalism, discretion, and attention to detail
  • Ability to operate effectively in a fast-paced, dynamic environment
  • Strong problem-solving skills, with a proactive and solutions-oriented mindset
  • Experience working in international and multicultural environments
  • High level of cultural awareness and interpersonal effectiveness
  • Demonstrated ownership, accountability, and commitment to delivering high-quality results
  • Confidence in handling ambiguous and time-sensitive situations
  • Proficiency in leveraging digital tools; experience with AI-enabled tools is an advantage
  • Professional fluency in English and Ukrainian is required
